Job description

Medical Office Manager

The Medical Office Manager is responsible for the overall operation of Ortho and General Surgery clinics. Oversees the billing efforts of the practice by supervising medical billers and/or performing functions on their own. Conducts periodic internal audits. Supervises other members of the practice, such as receptionist, medical billers, medical assistants, nurses, and other staff members. The supervision often involves hiring, training, coaching, delegating, discipline, and assessing performance. Oversees scheduling of staff to ensure that all areas of need are covered and review and approve staff time sheets. Orders supplies, equipment, and maintenance for the facility. Keeps staff informed of current protocols and regulations by hosting regular staff meetings and attending meetings as scheduled by the Practice Manager. Assists patients with completion of forms such as FMLA and Patient Assistance forms for medications. Handles patient complaints and concerns. Hosts third party and regulatory audits. This may include reviewing and copying patient medical records for insurance companies, attorneys, and other third party requesters.

At least 5 years of experience in a medical office setting preferred. 3-5 years of experience in a supervisory or management role within a medical office preferred. Strong ability to organize and manage daily operations, patient flow, and administrative tasks. Excellent written and verbal communication skills for interacting with staff, patients, and other healthcare professionals. Ability to motivate and lead a team, delegate tasks effectively, and foster a positive work environment. Familiarity with medical terminology and healthcare practices. Understanding of HIPAA, COBRA, and other relevant regulations. Ability to manage budgets, track expenses, and ensure financial compliance.
