Job Summary

The Project Coordinator supports the overall function of the Workforce Solutions office, including supporting the work of the Project Managers. That work includes generating and analyzing reports from multiple databases to support business operations and decision-making, collaborating on the design, development, and production of marketing and advertising materials, coordinating CDL Program enrollment processes, including participant registration, documentation, and communication with applicants. and creating and maintaining social media content and email newsletters to engage audiences and promote organizational initiatives. Serves as a backup to Workforce Solutions Department Administrative Assistants as needed.

Job Duties:

  • Serves as primary contact for onboarding Workforce Solutions faculty. Initiates all meet and greets, hiring forms, establishes regular onboarding orientations for Workforce Solutions faculty.
  • Actively recruits new faculty for Workforce Solutions customized training needs, anticipating needs for commonly requested industry training needs. Leads communication for faculty interviews and establishes regular communication with Project Managers to determine needs.
  • Maintains and updates master list of current Workforce Solutions Faculty to assist in identifying gaps for subject matter expertise.
  • Manages and provides regular reporting for Workforce student enrollment in Salesforce and PeopleSoft. Provides regular reporting on revenue analysis for projects.
  • Maintains and updates the Workforce Solutions webpage on a consistent basis.
  • Serves as primary contact for business and industry, community agencies, and other community partners for scheduling rooms, events, and other community initiatives on behalf of Workforce Solutions at BCTC campuses.
  • Serves as backup for Administrative Assistants in Workforce Solutions Front Office - answering and returning all forms of communication, meeting/greeting visitors, scheduling meetings.
  • Serves as the primary contact for CDL student enrollment, employer communication, third-party funding, communication with CDL faculty. Enrolls students in CDL courses, processes, and reconciles payments.
  • Advertises CDL courses and regularly communicates via the Workforce Solutions website, notifies key community partners such as the Bluegrass Area Development District/Career Center, Goodwill Industries, transportation employer partners of scheduled CDL courses.
  • Supports Project Managers through regular and effective communication, follow through on project needs, student enrollment, open enrollment programs, and slot-in student enrollment. Orders textbooks and other course-related materials at the request of the Project Manager(s).
  • Performs revenue analysis for customized training projects and performs tuition calculations and reporting for slot-in enrollment, student enrollment for grant programs, and continuing education, etc. enrollment.
  • Maintains proper documentation of student enrollment in various platforms.
  • Serves as back-up to the Administrative Assistant II for Financials. Cross-trains on Financials.
  • Prepares the monthly Workforce Solutions Newsletter. Manages and maintains the newsletter list-serve to ensure up to date list-serve membership and communication.
  • Manages Workforce Solutions social media.
  • Collaborates with Project Managers on design, development, and production of marketing materials.
  • Other duties as needed.

Minimum Qualifications:

  • Bachelor's degree and 2 years experience or equivalent
