Job description

Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). Two (2) full time years of experience providing administrative support in a customer-facing or public-facing role (related student work experience may be considered). Experience with Microsoft Office Suite and/or Google Workspace.
Preferred Qualifications:
Experience working in a higher education setting. Experience hiring, scheduling or supervising student workers and/or employees. Experience with online test administration tools systems such as Honorlock, Proctorio, Respondus, etc. Experience with learning management systems such as Brightspace, Blackboard, Canvas, etc. Experience with scheduling systems such as, Calendly or AppointmentQuest. Experience in maintaining and updating databases
Brief Description of Duties:
The Testing Center Coordinator will oversee daily operations and management of the Center for Excellence in Learning and Teaching (CELT's) Testing Center. This role ensures that all tests are administered in compliance with departmental and institutional policy and privacy standards. The coordinator will hire, train, schedule and supervise graduate student proctors, and coordinate with SBU students, faculty and staff, to schedule, document and proctor exam sessions, always ensuring optimal customer service.
  • Testing Center Operations
    • Oversee daily center readiness, ensuring the facility is ready for use prior to the first scheduled testing session. Develop and implement opening/closing procedures and maintain a clean, professional testing environment.
    • Maintain, update, and publish testing center policies and procedures based on stakeholder feedback. Administer exams in strict compliance with instructor directions and institutional standards.
    • Manage student entry by verifying identities, securing student belongings, and assigning designated workstations and manual testing materials.
    • Update and maintain the Testing Center Website, manage the email, phone system and calendar for the Testing Center.
    • Communicate promptly with internal and external technical support teams to troubleshoot and resolve issues with testing hardware/software.
    • Monitor inventory and order testing/office supplies to ensure the center has all equipment and materials needed to maintain our testing operations.
  • Registration, Scheduling and Proctoring
    • Schedule individual and class-wide exams based on facility availability and student and/or instructor requests. For paper based assessments, coordinate the collection, distribution and forwarding of completed quizzes and tests.
    • Provide guidance on the center's policies and procedures to Stony Brook students, faculty, and instructional staff requesting appointments at the Testing Center
    • Coordinate the check-in and check-out process for students completing exams, maintaining accurate usage records for the Testing Center.
    • Monitor test takers via SBU's camera system, flagging, documenting and reporting incidents of potential academic integrity violations per center and institutional policies and procedures.
    • Partner with assessment specialists to distribute service satisfaction surveys. Analyze survey results and compile operational usage reports for the Assistant Director.
  • Student Employee Supervision
    • Recruit, hire and onboard student employees and Graduate Student Proctors to support Testing Center operations.
    • Create and manage student staff schedules to ensure comprehensive proctoring coverage during Testing Center hours of operation and all scheduled exam sessions.
    • Supervise all student staff to ensure professionalism, quality service to faculty, staff & students, and consistent adherence to Testing Center policies, procedures, and proctoring guidelines.
  • Administrative Support
    • Provide general administrative support to the CELT department as required, including department email management, calendaring for department leadership, and event planning/reservations.
  • Professional Development & University Service
    • Participate in opportunities that promote your learning, growth, and professional development (i.e. classes, training, committees, webinars, etc.).
    • Contribute to the Office of the Provost and Stony Brook University community by attending and/or supporting events, activities, and programs sponsored by areas outside of CELT.
  • Other duties and projects as assigned, appropriate to rank and mission.

Special Notes:
This is a full-time appointment. FLSA Non-Exempt position, eligible for the overtime provisions of the FLSA.
This position will report to campus in Stony Brook, NY full time.
In addition to the employee's base salary, this position is eligible for $4000 UUP annual location pay, paid biweekly.
