Summary:  Performs various mailroom duties and also backup responsibilities for the Company switchboard.  

Package Delivery Duties and Responsibilities

  • Responsible for organizing and distributing packages among departments within the corporation. Duties include receiving deliveries from USPS/FedEx/UPS, sorting packages by departments and distributing items to each department.
  • Sign for and account for all incoming deliveries.
  • Receive and input USPS/UPS/FedEx/Staples packages into WTS system.
  • Deliver morning & afternoon USPS/UPS/FedEx/Staples packages.
  • Replace toner on copy machines and deliver copy paper as needed to all floors.
  • Sell stamps, meter or create FedEx labels from 11:00-1:00 for employees.
  • Backup to mail delivery twice a day.
  • Other duties as needed.

Backup Mail Clerk Duties and Responsibilities 

Backup Mail Clerks are responsible for a variety of tasks throughout the workday. The common duties and responsibilities of a Mail Clerk include:

  • Open/Close Mailroom
  • Create Manual logbook for incoming package delivery
  • Receive and input packages into Web Tracking System (WTS) and deliver early morning FedEx & UPS.
  • Collect payment for postage stamps, metered postage, FedEx and outgoing packages.
  • Send out inner-office FedEx envelopes three times a week to outside offices.
  • Sort all Picked up USPS/FedEx/UPS and send out.
  • Update employee list and set up new mail stops for employees.
  • Deliver First Overnight FedEx and UPS.
  • Stock FedEx/USPS and UPS supplies.
  • Other duties as needed

Backup Switch Board Operator Duties and Responsibilities

  • Daily duties for backup switchboard operators vary depending on their work environment and how many incoming calls and customers they must manage. However, there are several tasks commonly associated with the job, including:
  • Cover morning, afternoon and lunch breaks for Front Desk.
  • Answer Multi-Line Phone System (Cisco) Incoming Calls.
  • Direct clients, staff, & vendors to the applicable party.
  • Cover front desk from 4:00 - 5:00 p.m., then close front desk.
  • Schedules Conference Rooms for all staff/employees, such as executives.
  • Books Pool Cars upon request for employees.
  • Controls & distributes Temporary badges for visitors/employees.
  • Validates visitors parking
  • Manages Woodlands Express Park & Ride ticket books.
  • Other duties as needed.
