JOB SUMMARY:
Interim Grant Administrator (Temporary Position)
Position Title: Interim Grant Administrator
Status: Temporary, non-exempt
Salary: $30-32 per hour
Schedule: 28 hours per week
Duration: Through November 24, 2026
Reports To: Chief Executive Officer
Location: Remote
Position Summary
The Interim Grant Administrator provides temporary leadership and oversight of grant administration activities to ensure compliance with federal, state, local, and private funding requirements. This position is responsible for supporting grant implementation, monitoring deliverables, tracking performance measures, coordinating reporting requirements, and collaborating with internal and external stakeholders to ensure successful grant management during a transitional period.
The Interim Grant Administrator will serve as a key liaison between program staff, finance, leadership, and funding agencies to ensure grant-funded activities are implemented effectively and in accordance with all applicable requirements.
Essential Duties and Responsibilities
Grant Administration and Compliance
  • Grant/ Request for Proposal (RFP) drafting and timely submission.
  • Monitor grant activities to ensure compliance with grant agreements, funding requirements, organizational policies, and applicable regulations.
  • Track grant deliverables, deadlines, reporting requirements, and performance outcomes.
  • Coordinate and prepare grant reports, progress updates, and supporting documentation.
  • Maintain accurate grant files, records, and documentation.
  • Review program activities and expenditures for alignment with approved grant budgets and work plans.
  • Assist with grant modifications, amendments, renewals, and closeout activities.
  • Support the implementation and ongoing management of Instrumental to strengthen grant tracking, funding opportunity management, and reporting processes.
  • Assist with the grant writing process, including researching funding opportunities, gathering program information, coordinating proposal development, and supporting grant submissions.
Program Coordination
  • Collaborate with program directors and managers to monitor grant implementation and performance.
  • Support the development and tracking of work plans, timelines, and program objectives.
  • Identify potential compliance risks and communicate concerns to leadership.
  • Participate in meetings with funders, partners, and stakeholders as needed.
Financial Oversight Support
  • Coordinate with finance staff to monitor grant expenditures and budget utilization.
  • Assist in reviewing budget-to-actual reports and identifying variances.
  • Support documentation requests related to audits, monitoring visits, and compliance reviews.
  • Ensure expenditure is properly documented and aligned with grant requirements.
Communication and Collaboration
  • Serve as a resource to staff regarding grant requirements and reporting expectations.
  • Foster positive working relationships with funding agencies, community partners, and organizational leadership.
  • Participate in organizational meetings, planning sessions, and strategic discussions as assigned.
Other Duties
Perform other grant administration and organizational support duties as assigned.
Assist with transition planning and knowledge transfer activities to support long-term grant management operations.
REQUIRED EDUCTION AND/OR EXPERIENCE
Bachelor’s degree in Business Administration, Public Administration, Nonprofit Management, Health Administration, or a related field; equivalent experience may be considered.
Minimum three (3) years of experience in grant administration, grant management, contract management, program administration, or related nonprofit experience.
Knowledge of grant compliance requirements and reporting processes.
Strong organizational, project management, and time management skills.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office Suite and virtual collaboration platforms.
Preferred
Experience managing federal, state, and foundation-funded grants.
Experience in nonprofit, public health, community-based, or social service organizations.
Experience working with multiple funding streams and reporting requirements.
Work Schedule and Term
This is a temporary position expected to work 30–40 hours per week through November 24, 2026. Work schedules may vary based on organizational needs and grant deadlines.
Professional Standards and Virtual Meeting Expectations
Employees are expected to maintain a professional and business-appropriate appearance and conduct during all work-related interactions, including virtual meetings.
Camera Usage Requirement
The Interim Grant Administrator is required to have their camera turned on and remain visibly present during all company business meetings conducted through Zoom or other approved virtual meeting platforms unless otherwise authorized by management due to exceptional circumstances.
Employees participating in virtual meetings must present themselves in a professional manner consistent with workplace expectations, including maintaining appropriate attire, a professional appearance, and a distraction-free environment suitable for business communications.
Physical Requirements
Ability to sit, stand, and work at a computer for extended periods.
Ability to communicate effectively in person, by phone, and through virtual meeting platforms.
Ability to occasionally lift and move office materials weighing up to 20 pounds.
