JOB SUMMARY
Under regular direction of the Office Manager of Fire Services and in compliance with standard operating procedures and policies, performs a variety of diverse, complex, and confidential administrative duties in order to ensure effective and efficient division operations.
ESSENTIAL JOB FUNCTIONS
• Provides administrative assistance to Assistant Chief's and general fire staff;
• Performs receptionist duties, including welcoming visitors, providing direction and guidance to the public regarding City policy and/or departmental information to resolve issues or questions;
• Creates, composes, and edits complex spreadsheets;
• Performs data analysis and generates reports;
• Composes, prepares, types, copies, distributes, files, processes, mails, and/or transmits various forms, records, reports, notices, memos, correspondence, and other documents;
• Verify and submit invoices for payment to accounts payable;
• Provide procurement support by receiving and processing supply requests, purchase orders and requisitions;
• Assists with the management of fire department records, including filing and maintain departmental files; inputs data, checks data for accuracy and completeness;
• Assists Assistant Chief of Training in scheduling and coordinating new hire orientation and pre-employment functions at Fire Department;
• Assists with the scheduling and coordination of fire inspections;
• Plans and coordinates departmental events, i.e. Fire Safety Prevention events, community outreach, etc.
• Serves as back-up to Office Manager; and
• Performs other duties as assigned.
MINIMUM REQUIREMENTS
• High School Diploma or equivalent.
• Three years administrative experience in an office setting, to include generating reports and working with spreadsheets and databases.
• Intermediate to advanced level knowledge in Word, Excel and Adobe Acrobat, required.
• Prior experience with HIPPA and privacy regulations, preferred.
• Valid South Carolina Driver's License.
• Experience in payroll, human resources, budget preparation and accounts payable preferred.

• Ability to develop and maintain cooperative and professional relationships with employee and all levels of management to include representatives from other departments;
• Ability to appropriately handle confidential information;
• Use effective judgment in discussion and resolving customer (internal or external) related issues consistent with City and departmental policies and procedures;
• Ability to use computers and various software programs, to include Word, Excel, Adobe Acrobat, and PowerPoint.
• Ability to type 45wpm.
• Ability to operate a business phone system and handle a multi-line phone.
• Ability to provide quality customer service to City personnel and the general public.
• Ability to work independently, maintain good organizational skills and be very detailed oriented.
• Ability to communicate effectively both orally and in writing.
• Ability to multi-task in a busy environment.
• Ability to problem-solve with workable solutions.
• Ability to work with little supervision.
WORK ENVIRONMENT
The work is typically performed indoors in an office environment, relatively free from unpleasant environment conditions or hazards.
PHYSICAL DEMANDS
Frequently requires fine dexterity, handling, vision, hearing and talking. Frequently requires standing, sitting, walking, and twisting. Occasionally requires walking, lifting, carrying, reaching, kneeling, pushing/pulling, bending, crouching, stooping, climbing, and balancing. Sedentary strength demands include exerting up to 10 pounds occasionally.
MENTAL DEMANDS
Frequently require performing multiple tasks simultaneously, working closely with others as part of a team, and tedious or exacting work. Occasionally requires time pressures, frequent change of tasks, and irregular schedule/overtime.
