Job description

Job Title: Temporary Executive Assistant

Industry: Nonprofit / Association

Location (city, state): Washington, DC

Assignment Type: Contract (approximately one month, with possibility to extend)

Pay: $30 to $32 per hour

Work Schedule: Monday through Friday, 9am to 5pm, 35 hours per week, fully on site

Job Description:

Our client is seeking a polished and resourceful Executive Assistant to support senior leadership within the Office of the President. This role calls for someone who thrives in a fast paced, results oriented environment and can exercise sound judgment across a wide range of situations. The ideal candidate brings excellent written and verbal communication skills, strong administrative instincts, and the ability to balance multiple competing priorities. This person will manage projects independently from start to finish and remain composed under pressure while handling sensitive and confidential matters with discretion.

 

Key Responsibilities:

  • Manage complex calendars, coordinating meetings, conferences, teleconferences, and travel arrangements for senior executives
  • Screen and route incoming calls, take messages, and follow up as needed
  • Process and distribute checks addressed to the Office of the President
  • Prepare and submit expense reports, ensuring timely reimbursement
  • Support executives by reading, researching, and routing correspondence, drafting letters and documents, and gathering and analyzing information
  • Review records, forms, and reports for accuracy and completeness, correcting minor issues independently and escalating larger concerns as appropriate
  • Serve as a liaison for internal and external visitors and callers, directing inquiries professionally
  • Safeguard confidential information and represent the organization professionally at all times
  • Track office supply inventory and coordinate equipment maintenance and repairs
  • Attend meetings and take clear, concise minutes when needed
  • Compile reports through research and analysis
  • Serve as backup support to the executive scheduler
  • Juggle competing priorities and see projects through to completion, often under deadline pressure

 

Qualifications:

  • Five to seven years of experience directly supporting C Suite or senior leadership, ideally within a nonprofit or association setting
  • Background in high level executive support including calendar management, travel coordination, meeting logistics, correspondence drafting, call screening, and expense reporting
  • Experience acting as a liaison for internal and external stakeholders, handling sensitive communications and confidential information with professionalism
  • Proficiency in Microsoft Office Suite, particularly Excel and Word
  • Strong personal organization system with the ability to anticipate needs and manage multiple priorities seamlessly
  • High attention to detail and tech savvy mindset
  • Bachelor's degree preferred
