Northwestern University is seeking a temporary full-time Program Assistant for the Evanston campus.
Temporary Job Description:

This person will be the main point of contact for telephone and email inquiries from alumni regarding Reunion Weekend (October 9-11, 2026: providing general information, taking registrations by phone, and escalating questions to full-time staff as needed. Additionally, this person will manage the back end of all Reunion-related registration and reporting. This includes the execution of several daily QC processes to ensure that alumni information is appearing completely and correctly in CAT Connect, Blackthorn, and Tableau. This person generates all Reunion-related reports including managing the daily dashboard, building ticket orders, monitoring catering counts, and creating event attendance lists. They oversee the creation of all Reunion Weekend nametags (several thousand, across nearly 2 dozen separate batches). This person also supports vendor management, coordinating the dozens of entertainers, photographers, and merchandise/keepsake vendors who are engaged to support Reunion Weekend events. They complete other administrative duties as assigned.

This person will possess strong customer service skills: friendliness, patience, the ability to say, "I will find out," rather than, "I don't know." The ability to maintain focus and calm under fast-paced and sometimes stressful situations. Attention to detail, the ability to complete follow-up tasks completely and competently, and the ability to work methodically and stay focused during tedious tasks is also important. Proficient in MS Office, particularly Outlook, Word, and Excel, with intermediate/advanced knowledge of Excel, including the ability to filter/sort, build pivot tables, do simple to moderate formulas, and reports. Vlookups are a bonus, but can be taught. Strong writing skills also helpful.

Qualifications Required:

A bachelor's degree or the equivalent combination of education, training and experience;

Strong writing skills;

High level of organizational skills and attention to detail;

Diligent and can work independently;

Experience working with confidential information;

Professionalism;

Flexibility, adaptability in a fast paced environment.

Software Required:

MS Office suite 2013 (Word, Excel, PowerPoint, Outlook).

In addition to salary, this temporary position is eligible for paid time off and paid sick time in accordance with Northwestern University policies. This position is not eligible for other benefits offered to regular staff positions.
