Description

Reporting to the Controller, the Temporary Part-Time Accountant is a part-time contract position that supports the daily accounting functions of Mary's Place. The role sits between a staff and senior accountant: alongside transactional work such as accounts payable, deposits and cash receipts, and general ledger entries, the Temporary Part-Time Accountant is expected to independently prepare month-end reconciliations, maintain supporting schedules, and help ensure accurate accounting and record keeping in compliance with Generally Accepted Accounting Principles (GAAP). 


The Temporary Part-Time Accountant assists the Controller and Finance Team with the annual audit, grant and contract reporting, and the preparation of financial reports. The right candidate is experienced enough to work with limited supervision while remaining hands-on with day-to-day accounting tasks. 


The Temporary Part-Time Accountant actively engages in Mary's Place racial equity work - striving for equitable outcomes and taking responsibility for creating, maintaining, and affirming communities for people of color, immigrants, and refugees, trans and gender-nonconforming people, and other populations who routinely encounter systemic oppressions. 


This is a part-time, temporary, hourly, non-exempt position. The role is expected to last 3-6 months, with the possibility of extension, and will average approximately 15 hours per week. The hourly wage is $38-$48/hr. DOE. 


This role reports to the Controller and does not supervise staff. The position is primarily remote, with occasional required in-person meetings in the Seattle area. 


The schedule is flexible and will be arranged in collaboration with the Controller, with flexibility to work occasional evenings or weekends as needed to support month-end close, reporting, and audit deadlines. While specific days and hours are flexible, availability during core business hours, generally between 10:00 a.m. and 2:00 p.m. Pacific Time, is preferred. 


Key Responsibilities 

  • Enter transaction data and process AP payments, including direct client assistance (DCA). 
  • Make deposits and enter cash receipt transactions. 
  • Ensure accounts receivable receipts, accounts payable, and payroll expenditures are reviewed, reconciled, and posted timely and accurately. 
  • Prepare assigned month-end close tasks and initial reconciliations for designated general ledger, bank, credit card, and balance sheet accounts. 
  • Maintain necessary supporting documents and schedules. 
  • Responsible for expense allocation entries and monthly income reconciliations. 
  • Assist with reconciling in-kind gifts and ensuring values are properly recorded to the general ledger. 
  • Support city contract invoicing and grant reporting requirements; help ensure expenditures align with grant and program budgets throughout the grant/fund period. 
  • Assist with the preparation of financial reports and the annual budget process. 
  • Maintain internal controls and safeguards for receipt of revenue, costs, and program budgets and actual expenditures. 
  • Prepare and maintain policy and process documentation within the Finance Team. 
  • Assist the Controller and Finance Team with all aspects of the annual external audit, including audit readiness, checklists, and schedules. 
  • Provide back-up and cross-coverage for other Finance Team members during busy periods and absences. 
  • Other projects and tasks as assigned. 


Requirements

Skills / Qualifications 

  • Bachelor's degree in Accounting, or an AA in Accounting with equivalent work experience. 
  • At least 2-4 years of professional accounting experience; non-profit accounting experience preferred. 
  • Working knowledge of general accounting and financial reporting procedures in accordance with GAAP. 
  • Working knowledge and experience with QuickBooks Online is required. 
  • Experience with Paylocity, bill.com, and Divvy is preferred. 
  • Proficiency with Microsoft Office 365 applications (Teams, SharePoint, Outlook) is required. 
  • Advanced Excel skills (formulas, pivot tables, and linked complex workbooks). 
  • Strong data entry accuracy, efficiency, and a detail-oriented, analytical approach to work. 
  • Exceptional time management and organizational skills; proven ability to multitask, set priorities, and meet deadlines with limited supervision. 
  • Ability to protect the confidentiality of sensitive information using sound judgment. 
  • Ability to work successfully in a collaborative, team-oriented organization.

  • Highly motivated, resourceful, and flexible; possessing a positive attitude and sense of humor, even under pressure.

  • Ability to occasionally push, pull, lift, and/or carry supplies up to 25 pounds. 
  • Work takes place in a social services environment where extended periods of sitting, working on a computer, walking to various work areas, going up and downstairs, and standing are required. 
  • Travel to program sites and meetings outside the office and around the county may be necessary. 
  • Ability to work in an environment where there may be animals present, including dogs.

In addition, Mary's Place offers the following benefits to part-time staff: 

Sick Time in accordance with Seattle Paid Sick and Safe Time Ordinance. Sick Time accrues at 0.03846 hour for each hour in timesheet (equal to 40 hours/year when 20 hours/week in timesheet) 

Paid Time Off (PTO) accrues at 0.03846 hour for each hour in timesheet during first year of employment, with increasing accruals for each year worked up to 0.05769 hour for 5+ years of employment 

403(b) plan with a 50% employer match on the first 6% employee contribution. Eligible to participate upon hire; eligible for the match after 1 year of employment and 1,000 Hours of Service.
