Job description

Summary:  The Airport Concierge serves as both the first impression and final point of contact for Ocean Reef Club members, guests, and flight crews. This role is responsible for delivering a seamless, welcoming, and personalized arrival and departure experience that reflects the high standards of the Ocean Reef Club.


Responsibilities include coordinating ground services, managing reservation logistics, and ensuring every detail of the airport experience is handled with precision, efficiency, and warmth. This position also performs administrative duties as delegated by Airport Management.


Essential Duties & Responsibilities

  • Greet arriving and departing members, guests, and flight crews with professionalism, discretion, and genuine hospitality.
  • Serve as liaison between members, guests, flight crews, and Ocean Reef departments and vendors to ensure seamless service coordination.
  • Provide accurate information regarding Club events, amenities, airport rules, and operating procedures.
  • Operate UNICOM radio systems, providing airport advisories and ensuring clear communication with aircraft and ground service teams.
  • Maintain cleanliness and presentation standards for all terminal and guest-facing areas.
  • Coordinate aircraft and airport services with the Operations Team (fueling, GPU, lavatory, towing, hazardous waste, etc.).
  • Manage requests for reservations, transportation, catering, hotel recommendations, and luggage handling.
  • Enforce compliance with Club, ORCA, state, and federal aviation rules and regulations.
  • Monitor and communicate weather conditions and air traffic trends.
  • Maintain accurate daily records of aircraft activity, including arrivals, departures, parking, incidents, and complaints.
  • Report violations of airport safety or procedures and follow the Airport Safety Management System (SMS) protocols.
  • Perform billing functions and audit all transactions daily.
  • Ensure all airport users have current registration packets and Certificates of Insurance on file per Club requirements.
  • Support the comfort of waiting guests by offering refreshments, reading materials, and assistance as needed.
  • Respond to last-minute requests or changes with flexibility and a positive attitude.

Qualifications

To perform this job successfully, an individual must be able to fulfill each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

  • Previous experience in hospitality, aviation, private club, or luxury service preferred.
  • Exceptional interpersonal, verbal, and written communication skills.
  • Professional appearance and demeanor required.
  • Strong multitasking and prioritization skills in a fast-paced environment.
  • Ability to work independently, troubleshoot, and respond effectively in emergency situations.
  • General knowledge of aviation procedures, weather reporting, aircraft types/performance, and phonetic alphabet.
  • Valid driver's license required.
  • Proficiency in Microsoft Office; experience with FBO scheduling platforms is a plus.
  • Flexible availability, including weekends and holidays.
  • Proficient in the use of UHF and/or VHF radios with correct radio terminology.

Education & Experience

  • High school diploma preferred.
  • 1-2 years of experience in reception, customer service, or a related field is preferred.

Language Skills

  • Must be able to effectively communicate in English, both verbally and in writing.

Physical Demands

Work Environment

  • Must be able to work outdoors in all weather conditions.
  • Noise levels range from moderate to loud.
  • Must be available to work weekends, holidays, and flexible shifts between 7:00 AM - 10:00 PM (rare exceptions may occur outside these hours).
  • May require handling of aviation fuels, paints, and chemicals.
