OPS Administrative Assistant I

Mission San Luis, a 64-acre living history museum located in Tallahassee, Florida, is seeking a dedicated and detail-oriented OPS Administrative Assistant. This position must be able to provide excellent customer service.  Please submit a resume and cover letter detailing any work experience and explaining why you are the best candidate. This is a full-time OPS position with an hourly pay rate of $16.

Primary duties:

    • Work with supervisor to maintain records for DOS and CSO budgets, purchases, payments, and approval requests.
    • Under supervision, processing invoices and monitoring payments.
    • Route and track internal paperwork.  
    • Maintain files/records.
    • Manage incoming and outgoing mail.
    • Support day-to-day museum operations.
    • Assist with preparing the site for public events.
    • Assist with other Mission San Luis activities or initiatives as needed

Minimum qualifications:

  • High School Diploma or Equivalent.
  • 1 or more years of office, data entry or customer service experience. College education from an accredited institution or vocational training can substitute for experience.
  • Proficiency in standard office software

Preferences:

  • Experience with State of Florida government operations.
  • Experience with office management and administrative duties.
  • Experience with organization finances, including creating and managing budgets, purchasing, and accounting software.

 

Knowledge, Skills, Abilities:

  • Excellent oral and written communications skills
  • Excellent organization and project-management skills
  • Ability to work independently and as part of a team
  • Ability to lift, move, carry, and/or push items weighing up to 20 lbs.
  • Ability to understand and follow established procedures and policies
  • Proficiency in standard office software
