Position Overview
The Administrative & Operations Assistant provides essential support to the department by managing customer inquiries, coordinating operational workflows, and maintaining accurate documentation and communication channels. This role ensures timely response to public requests, smooth internal operations, and consistent administrative support across the team.
Key Responsibilities Customer Service & Public Response
- Monitor and respond to department phone messages in a timely manner
- Provide frontline customer service by receiving complaints, service requests, and general inquiries
- Route calls, questions, and requests to the appropriate staff or department
- Administer guest badging procedures for visitors and contractors
Operations Support
- Separate completed locates outside the service area for monthly billing
- Update Utility Locate website requests within required timelines (48 hours standard; 24 hours for emergencies)
- Maintain the Public Works Operations Outlook calendar, including:
- Recording call‑outs
- Processing absence requests
- Tracking overtime approvals
- Update the weekly call‑out phone schedule every Wednesday
Mail & Office Administration
- Retrieve, sort, and distribute incoming mail and deliveries
- Provide general office support to ensure smooth daily operations
Qualifications
- Administrative experience in office setting
- Microsoft Office Suite proficiency
- Attention to detail
- Customer service experience
