Job description

Development Foundation, Individual Giving & Grants Manager

Position Summary

The Development Foundation, Individual Giving & Grants Manager, serves as the operational leader of the Organization's Development, Marketing & Strategic Communications Department. Reporting to the Director, this position manages departmental operations, grants administration, fundraising systems, financial analysis, project management, and staff supervision to ensure the successful execution of fundraising and organizational priorities.

Working closely with the Director, the Development Foundation, Individual Giving & Grants Manager translates strategic priorities into implementation by coordinating grant activities, maintaining fundraising infrastructure, supervising departmental support staff, monitoring performance metrics, and ensuring projects remain on schedule. The position also supports Board reporting, fundraising communications, website administration, and organizational marketing initiatives.

Essential Responsibilities

Department Operations & Administration

  • Coordinate the day-to-day operations of the Development, Marketing & Strategic Communications Department.
  • Develop and maintain departmental work plans, calendars, timelines, project management systems, and operational procedures.
  • Monitor departmental priorities and ensure projects remain on schedule.
  • Maintain SharePoint resources, departmental templates, and operational documentation.
  • Identify operational risks, workflow improvements, and opportunities to strengthen departmental effectiveness.
  • Support strategic planning and implementation of departmental initiatives.

Grants Management & Institutional Giving

  • Coordinate the complete lifecycle of foundation, corporate, and government grants.
  • Prepare grant applications, reports, supporting documentation, and grant narratives.
  • Maintain grant calendars and ensure timely submission of all proposals and reports.
  • Collaborate with Program and Finance staff to develop grant concepts, collect supporting information, and monitor outcomes.
  • Monitor grant compliance, restricted funding, and reporting requirements.
  • Maintain a comprehensive grants library and institutional knowledge repository.

Financial Analysis & Development Operations

  • Partner with Finance to monitor fundraising revenue, grant expenditures, and restricted funding.
  • Maintain fundraising dashboards, revenue projections, forecasting tools, and departmental reports.
  • Analyze fundraising performance and prepare reports for leadership and the Board.
  • Monitor departmental metrics and recommend operational improvements.

Staff Leadership & Supervision

  • Provide day-to-day supervision, coaching, and workflow management for the Development Associate.
  • Assist the Director with onboarding, training, performance management, and professional development.
  • Supervise interns, volunteers, and temporary staff assigned to the department.
  • Foster a collaborative, organized, and service-oriented team environment.

Communications & Marketing Support

  • Support implementation of fundraising and organizational communications developed by the Director.
  • Maintain and update the organization's website and publish approved digital content.
  • Schedule and publish approved social media content across organizational platforms.
  • Assist in producing fundraising materials, donor reports, presentations, newsletters, and marketing collateral.
  • Ensure digital communications remain accurate, timely, and consistent with the organization's brand standards.

Board & Executive Support

  • Assist in preparing Board reports, presentations, fundraising dashboards, and strategic planning materials.
  • Support Board committee meetings and executive initiatives.
  • Represent the Organization at fundraising, networking, community, and stewardship events.
  • Provide operational continuity in the Director's absence, as appropriate.

Individual Giving & Events

  • Support implementation of the Organization's annual fundraising strategy.
  • Assist with donor research, stewardship, prospect management, and fundraising campaigns.
  • Coordinate donor logistics and stewardship activities for fundraising events and the Annual Gala.
  • Collaborate with event consultants and vendors to support successful fundraising and community events.

Qualifications

  • Bachelor's degree required.
  • Three to five years of progressively responsible experience in nonprofit development, grants management, development operations, or related field.
  • Demonstrated experience managing institutional grants from proposal through reporting.
  • Strong analytical, financial, and project management skills.
  • Excellent organizational, writing, and communication skills.
  • Experience supervising staff or coordinating team workflows preferred.
  • Proficiency with Raiser’s Edge NXT, Microsoft Office 365, SharePoint, project management platforms - JIRA, and fundraising technology.
  • Commitment to the Organization's mission and values.
