Job description

Summary

The Client Accounts Operations Lead works in collaboration with and supports the firm’s strategic initiatives. This advanced-level Legal Biller manages permanent billing responsibilities and dynamically manages the firm’s high-volume portfolios to serve institutional, high‑profile clients and attorneys. The role involves analyzing and prioritizing responsibilities, conducting process and gap analysis, and training and mentoring staff in all billing procedures.

Responsibilities
  • Provide temporary managerial support when regional managers are absent.
  • Act as a subject‑matter expert to provide legal billing surge support for regional billing teams and managers.
  • Manage short‑to‑mid‑term support assignments for billing groups experiencing temporary production surges.
  • Split time and work in incremental assignments for multiple managers and attorneys.
  • Review data for accuracy, gather and submit accrual information based on client requirements.
  • Research and resolve electronic billing rejections.
  • Analyze client billing data and provide detailed analysis to attorneys and support staff.
  • Track and resolve tickets assigned by the Accounting Service Desk daily.
  • Work across Legal Support Services and Accounting teams to streamline billing and client account services.
  • Analyze and prioritize responsibilities to maximize contribution to the billing organization, including process and gap analysis.
  • Maintain accurate descriptions of all client billing requirements, updating as necessary.
  • Interact with stakeholders to understand business problems and define solution requirements.
  • Analyze legal billing processes and supporting systems; develop business cases, metrics, and reporting.
  • Document and communicate functional and system requirements; build process‑flow diagrams.
  • Continually review internal processes for opportunities to improve efficiency.
  • Apply best practices for communication and problem solving; create standardized department reports; analyze data; identify improvement areas.
  • Support projects, report efforts, liaise with project participants, and follow up to ensure completion of tasks.
  • Interface with IT and various departments to support cross‑functional project requirements and perform system testing and validation.
  • For US clients: support the full billing cycle, review and edit pro−formas, seek approvals for deferrals, write‑offs, and time transfers, field billing inquiries, and create and maintain complex monthly reporting.
  • For global clients: coordinate and lead global client unified billing, review data for accuracy before submission, manage global client account assignments, perform full billing functions for firm and client requirements, create and maintain complex monthly reporting, liaise with international attorneys, obtain accurate accrual and forecasting information, follow up to ensure timely invoicing, troubleshoot finance counterparts, track tickets, and generate global client LEDES files for electronic billing.
  • Develop training programs to ensure consistent billing processes across the team; provide training to attorneys and staff.
  • Serve as point of escalation and quality analyst to coach junior specialists; provide guidance, mentoring, and training.

  • Ability to work independently and take direction well.

  • Advanced Microsoft Excel skills, including Lookup and PivotTable functions.
  • Organized and self‑starter; handle numerous projects and multiple concurrent deadlines.
  • Ability to prioritize assignments while providing backup billing support to multiple managers.
Minimum Education

High School Diploma or GED.

Prefer Bachelor’s degree in Business Administration, Accounting, Finance, or a related field.

Minimum Years of Experience

5 years of senior‑level legal billing experience managing high‑volume billing portfolios in a fast‑paced customer environment, customer service, and business analysis.

Physical Demands

The role may involve a hybrid arrangement of remote and in‑office work, coordinated with the hiring manager and subject to change based on business needs.
