Title: Analyst, Events & Experience

Employee Status: Temporary Full Time

Work From Home Option: Hybrid - 2 Days/Week (40% Remote)

Job Overview:

The Analyst, Events & Experience is responsible for managing assigned hospitality and group event projects from planning through execution, applying professional event management principles to ensure operational excellence and exceptional guest experience. This role serves as the primary client liaison post-sale and independently oversees event logistics, analyzes outcomes, and recommends process improvements. The Analyst collaborates cross-functionally and contributes to the design and implementation of workflows that enhance efficiency and consistency across venues. This position plays a key role in supporting Saratoga’s ability to operate with a high level of independence while remaining aligned with broader, multi-venue event standards and initiatives. As the Experience Department continues to evolve, the Analyst will adapt to changing processes, systems, and responsibilities while maintaining a string focus on operational excellence and guest experience.

Essential Functions:

Event Project Management · Independently manages assigned events end-to-end, including planning, coordination, and on-site execution. · Develops event timelines, floor plans, and operational strategies tailored to client needs and venue standards. · Applies professional judgment to resolve logistical challenges and ensure compliance with operational policies. · Act as a venue expert, offering guidance on event flow, guest experience, and best practices within the racetrack environment. Client Service and Communication · Serves as the primary point of contact for clients, providing expert guidance on event flow, guest experience, and best practices. · Communicates complex event concepts clearly to clients and internal stakeholders, ensuring alignment and understanding. Cross-Functional Collaboration · Partners with internal departments such as Facilities, Guest Services, Security, Ticketing, Marketing, and other operational partners to ensure seamless event delivery. · Prepares and distributes detailed event documentation to ensure all stakeholders have accurate and consistent information. · Supports on-site event execution as needed, ensuring events run smoothly and issues are addressed quickly and professionally. Financial and Departmental Responsibilities · Manages event budgets within defined parameters, monitors expenses, and ensures accurate billing and reconciliation. · Provide input on cost-saving strategies and operational efficiencies. · Maintains organized digital records related to events, contracts, and operational documentation. Departmental Growth & Adaptability · Collects and analyzes event performance data (*e.g., guest feedback, operational metrics) to identify trends and recommend improvements. · Designs and implements standardized tools, templates, and workflows to optimize event planning and execution. · Contributes to the evolution of the Experience Department by proposing innovative solutions and supporting change initiatives., · Participates in cross-venue collaboration between Saratoga and Belmont while helping Saratoga maintain strong, self-sufficient event operations. Other Duties · Participates in team meetings, trainings, and departmental initiatives as assigned · Performs additional duties as requested to support the success of the Experience Department and overall guest experience.

Qualifications:

Preferred Skills: · Experience managing end‑to‑end event projects in a venue, hospitality, or sports/entertainment environment. · Ability to analyze event metrics, identify trends, and propose data‑driven process improvements. · Experience developing standardized tools, templates, or workflows for event operations. · Familiarity with cross‑venue or multi‑site event planning within a complex organizational structure. · Knowledge of guest experience design principles and strategies for improving client satisfaction. · Advanced proficiency with project management or CRM systems (e.g., Monday, HubSpot, or equivalent). · Experience collaborating with operational teams such as Facilities, F&B, Security, or Ticketing. · Strong presentation skills, including the ability to communicate recommendations to leaders and stakeholders. Skills Proficiency: Technical & Functional Skills · Proficiency in event planning, logistics, and on‑site execution. · Ability to manage multiple projects simultaneously in a fast‑paced environment. · Strong capability in documentation, including developing event memos, timelines, and floor plans. · Competence in budget tracking, billing review, and financial documentation. · High proficiency with Microsoft Office and digital filing systems. Analytical & Problem-Solving Skills · Ability to analyze operational information and propose practical solutions. · Strong attention to detail in event specifications, contracts, and documentation. · Ability to anticipate challenges and make independent judgments within defined guidelines. Communication & Interpersonal Skills · Excellent written and verbal communication skills. · Able to provide expert guidance to clients and set clear expectations. · Skilled in cross‑functional collaboration with internal operational partners. · Strong relationship‑building capability with clients, vendors, and internal teams. Organizational & Adaptability Skills · Effective time‑management with shifting priorities. · Ability to adapt to changing processes, responsibilities, and systems. · Demonstrated initiative and ability to work independently with limited supervision. · Maintains professionalism and poise under pressure during peak event periods.
Qualifications and Education Requirements: · Bachelor’s degree in Hospitality, Event Management, or related field preferred. · 2–3 years of experience in event coordination or hospitality. · Willingness to work flexible hours including evenings, weekends, and holidays. · Ability to be based primarily in Saratoga with occasional Belmont support.

Summary of Physical Requirements and Work Environment:

Work is performed in both office and event venue environments. The role requires prolonged periods of sitting while working on a computer, as well as standing and walking during event setup and on-site execution, sometimes for extended periods. The position may require lifting light materials (e.g., event supplies or signage), frequent hand use for computer work, and the ability to work evenings, weekends, and holidays during peak event periods.

Pay Range / Salary:  $20.54 - $26.78
