Position Summary

The HR Operations I-9 Specialist (Temporary) supports the university's onboarding process by ensuring compliance with federal employment eligibility verification requirements. This position is responsible for conducting virtual and in-person Form I-9 appointments, reviewing employment authorization documentation, assisting new hires through the I-9 process, and maintaining accurate, confidential employee records. The ideal candidate is detail-oriented, organized, and committed to providing excellent customer service while ensuring compliance with federal regulations and university policies.

What you will be doing in this position

  • Conduct virtual and in-person Form I-9 appointments with newly hired employees in accordance with federal employment eligibility verification requirements.
  • Guide employees through the completion of Form I-9, ensuring Section 1 and Section 2 are completed accurately and within required timelines.
  • Examine employment authorization and identity documents for authenticity, completeness, and compliance with federal Form I-9 requirements.
  • Review completed Form I-9s for accuracy, completeness, and compliance, identifying and correcting errors when appropriate.
  • Communicate professionally with new hires, hiring departments, and campus partners regarding I-9 requirements, appointment scheduling, and onboarding procedures.
  • Escalate complex documentation, compliance concerns, or employment eligibility issues to appropriate HR staff.
  • Support Social Security Number (SSN) validation processes by reviewing employee information for accuracy, identifying discrepancies, and partnering with HRIS or Payroll to resolve issues as needed.
  • Perform other HR Operations and onboarding duties as assigned.

What qualifies you for this role

  • Strong attention to detail with excellent organizational and time management skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to manage confidential and sensitive information with professionalism and discretion.
  • Proficiency with Microsoft Office Suite, email, scheduling systems, and online document management tools.
  • Ability to work independently while following established procedures and meeting deadlines.

Preferred Qualifications

  • Previous experience in human resources, onboarding, administrative support, customer service, or higher education.
  • Experience working with Form I-9, E-Verify, HRIS, or electronic onboarding systems.
  • Familiarity with federal employment eligibility verification requirements and I-9 compliance is preferred but not required.

The actual compensation offered will take into consideration internal equity and may vary based on the candidate's job-related experience, knowledge, skills, and other relevant factors.
