Job description

The Marvin Learning Experience Coordinator provides support to Destination Marvin and other learning events and experiences. This includes monitoring and scheduling of experience requests, the creation and maintenance of monthly trip schedules, scheduling and coordination of travel, lodging, and events for groups attending the Warroad Experience. They will also serve as the primary contact for participants including collecting the purpose of the trip, assisting in the creation of the group’s custom agenda and coordinating communication with the groups and stakeholders.

The Marvin Learning Experience Coordinator will collaborate with the Learning Experience Manager and Learning Experience Facilitators to create agendas, ensure space and facilitators are scheduled for events and tours and help with transportation logistics. They will also play a key role in gathering feedback, post event follow-up and tracking and reporting on attendance. This role is ideal for an individual who excels in a dynamic, fast-paced environment and has the passion to drive projects forward while adeptly navigating challenging situations. 


• Coordinate communications, logistics, and performance tracking for Destination Marvin events. 

• Manage event details and timelines, ensuring visibility and inclusion for all key stakeholders.

• Maintain accurate data in systems such as Salesforce, Marketing Cloud, and Asana.

• Coordinate pre-event planning, including project intake and stakeholder meetings.

• Arrange travel, lodging, and event logistics for Marvin Experiences participants, facilitators, and guests.

• Provide on-site support and ensure smooth scheduling and accommodations.

• Collaborate with the Learning Experience Manager and Facilitators to deliver impactful participant experiences.

• Assist in creating and distributing post-event materials.

• Monitor and manage event budgets.

• Support setup, teardown, and dining space preparation for Destination Marvin events.

• Ensure event spaces are staged to create a welcoming and professional atmosphere.

• Track project progress, identify areas for improvement, and recommend solutions to maintain timelines. 


• Superior relationship management and communication skills with the ability to collaborate effectively and partner well with others in order to build strong and trusting relationships.

• Proven ability to communicate ideas and insights in person, virtually, and in writing, succinctly and with impact, understanding what is relevant vs. what is “noise” to the audience.

• Strong initiative and solid judgment abilities/skills; must display a balanced, objective approach and sound judgment when recommending a course of action.

• Ability to work independently and with a sense of urgency.

• Demonstrated effective problem-solving and decision-making skills.

• Strong influencing skills when recommending and implementing solutions with business partners.

• Strong understanding of vendor contracts and invoicing practices

• Superior organizational and time management skills, attention to detail

• Project management skills and ability to juggle and prioritize multiple responsibilities.

• Strong persuasion skills with the ability to influence stakeholders 


• Bachelor’s degree in a relevant field or equivalent experience

• Minimum of 3 years of experience planning and organizing events or similar experience.

• Experience using project management tools with Asana, Salesforce or related CRM platform preferred

• Experience with Microsoft Excel and Word
