Job description

Job Title: Customer Service Coordinator
Role Overview
We are seeking an organized, detail-oriented, and customer-focused Customer Service Coordinator to support our order management and client services team. In this role, you will be responsible for high-volume order processing, purchase order management, administrative support, and direct customer communications regarding active orders and pricing updates.
This is a dynamic, high-volume role combining computer-based administrative accuracy with professional client engagement. You will manage the shared customer service inbox, process purchase orders into internal database systems, execute a critical pricing update project, and collaborate closely with Planning, Scheduling, and sales teams to ensure timely order fulfillment. Key Responsibilities
Order Management & Processing
• Order Entry & Processing: Manage incoming customer purchase orders, upload documents into internal order-entry/database systems, and ensure absolute data integrity.
• Inbox Triage: Monitor and triage the shared customer service inbox, routing and responding to high-volume requests in a timely, professional manner.
• Backlog & Pricing Support: Support backlog management and execute a targeted pricing update project-communicating pricing changes to clients, requesting revised purchase orders, and updating system records accordingly.
Customer Support & Communication
• Client Engagement: Conduct professional customer follow-up regarding open orders, pricing inquiries, shipping updates, and general service requests via phone and email.
• Expedite Coordination: Partner proactively with Planning, Scheduling, and production teams to evaluate expedite requests and manage order prioritization.
• Documentation & Reporting: Maintain accurate order documentation, perform regular system audits, and complete administrative reporting tasks as assigned.
Qualifications & Requirements
Minimum Qualifications
• Education: High School Diploma or GED required (Associate's or Bachelor's degree preferred).
• Experience Baseline: Minimum of 1 to 3 years of professional customer service, order entry, or administrative operations experience in a fast-paced environment.
• Technical Mastery:
oIntermediate proficiency in Microsoft Excel (data sorting, lookups, and tracking).
oStrong working knowledge of Microsoft Office Suite (Word, Outlook) and standard order-entry database systems.
oProven typing speed of at least 50 WPM with high data-entry accuracy.
• Core Competencies: Exceptional written and verbal communication skills; professional telephone etiquette; superior organizational and multitasking capabilities; high attention to detail.
Preferred Attributes
• Experience working within enterprise ERP or order-entry platforms (e.g., QAD, SAP, Oracle, or similar).
• Prior background in manufacturing customer service, supply chain coordination, or logistics support.
