Job description

Temporary Customer Licensing Administrator

The Temporary Customer Licensing Administrator position will support the IEEE Customer Licensing Administrators by maintaining and completing license agreements, sending follow-ups, and updating IEEE's CRM system with the finalized records. The incumbent in this position is primarily responsible for sending out appropriate license agreement templates for the user licensing of all IEEE online package products, assisting the Customer Licensing Admins with creating contract records in the CRM system, sending follow-up emails regarding the status of the license agreements, sending simple amendments/documents with minimal customization, and other administrative tasks as needed by the Customer Licensing team. The role typically reports to a Manager and manages no direct reports. This position works under minimal supervision required and does not have authority. After an initial training period, the employee may be eligible to work in a hybrid office/remote structure.

Education: Bachelor's degree or equivalent preferred, with a focus on Business Administration or other related business field. Experience: 2 years related experience. Prior training in Sales Force Automation (SFA) or Customer Relationship Management (CRM) software (experience with Salesforce.com is highly desirable). Relevant experience in administrative tasks, document processing, and document generation.

Skills: Prior experience must demonstrate exceptionally strong attention to detail in combination with a proven ability to follow through on processes to ensure activity completion and to ensure the best interests of the IEEE are preserved and protected. Ability to gather, analyze, report and benchmark data. Must possess a proven ability to analyze, execute, and document processes. Must have strong quality assurance skills and a proven ability to (a) do work right the first time and (b) implement continuous improvement activities to ensure processes are executed proficiently. Must be a technologically savvy knowledge worker who seeks out technology solutions to business challenges. Expert working knowledge of Microsoft Excel, Word, and PowerPoint. Must have demonstrated ability to work with Sales Force Automation (SFA) or Customer Relationship Management (CRM) software; experience with Salesforce.com is highly desirable; proficiency in email systems. This individual must have strong communication skills as they will interact daily with customers and sales representatives, in person, by telephone, by e-mail, and other electronic means with those staff who initiated the license agreement process. This person needs excellent communication skills and the ability to work with people of varying levels of management and from a variety of cultures. Ability to communicate effectively with customers and staff of all grade levels both in person and via telecon. Strong command of grammar and syntax; this individual will routinely document processes, write routine correspondence and emails, and author minor license agreement terms. Writing must be clear, business-oriented and concise, as well as presented in a manner that is easily understood. Must have demonstrated ability to read through license agreement language to understand customer requirements. Also must be able to comprehend customer queries and staff emails to determine proper course of action. Strong interpersonal skills required, frequent contact via phone and email with non-US business partners (Dealers) and clear writing and communication skills are required. Also must have the ability to work with various departments within and outside IEEE to gather information, coordinate events, and resolve issues. This person must be capable of working independently with little direct supervision. Able to work equally effectively in the office as when working remotely (if applicable). Min: $35.00 Max: $40.00
