Job Summary

The Premium Administration & Contract Coordinator provides administrative and operational support to the Premium Ticket Operations and Premium Business departments in a high-volume, fast-paced environment. This role is responsible for drafting, reviewing, processing, and maintaining contracts and other related legal documents; managing client and contract records; ensuring all files are current and accurately reflect new, amended, or revised agreements; and supporting ticketing operations. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while supporting departmental goals and maintaining accurate records.

Essential Functions

  • Administer and prepare initial draft of premium inventory license agreements, amendments/addenda, and other legal documents, determining correct forms and attachments.
  • Review and edit contracts by incorporating deal points and other deal specific terms.
  • Collect all pertinent information related to the agreement, clarify data points and issues to Premium Sales and Services teams associated with deal.
  • Disseminate final legal documents for signature, ensuring timely receipt of execution.
  • Responsible for routing signed documents for execution as well as the internal distribution of executed agreements, and e-filing of all agreements, emails and other correspondence.
  • Audit agreements that have been processed to ensure contract terms are accurately reflected in ticketing system and corresponding spreadsheets.
  • Assist in evaluating current contract workflows and identify opportunities to improve efficiency, accountability, and turnaround times.
  • Ensure all contract files, records, and supporting documentation are maintained, updated, and accurately reflect all new, amended, renewed, or revised agreements.
  • May be responsible for creating contract drafting and processing instructions for training or other use.
  • Ensure forms and contracts are completed correctly and communicate information/updates as needed.
  • Perform ticket operations tasks such as creating invoices, processing payments, and adding parking and license fees into the customer's account.
  • Create and manage premium member accounts which include building new accounts, maintaining and updating contact information including primary email addresses, updating contract terms, and adding/removing additional contacts n ticketing system.
  • Email and mail client correspondence including termination letters, default payment letters and contract changes.
  • Maintain and organize filing system: create new files, update labels when changes occur, scan and purge dead files.
  • Maintain departmental budget book by logging bills into the budget spreadsheet and submitting invoices for processing.
  • Take inventory and order all office supplies and equipment.
  • Performs other related duties or special projects as assigned.

Required Qualifications

  • A minimum education level of: High School Diploma or its equivalency (Bachelor of Arts/Sciences Degree Preferred).    
  • Minimum of 2-4 Years of related work experience.
  • Proficient with Microsoft Outlook, Excel, and Word with the ability to learn required business systems.
  • Previous experience with AXS or other ticketing system preferred.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and highly organized, resourceful, and can learn quickly.
  • Ability to compare/analyze documentation.
  • Ability to work in fast-paced environment and prioritize work to meet tight deadlines and solve problems.
  • Ability to prioritize, multi-task and perform well under pressure.
  • Ability to work in a team environment and communicate with all levels of management.
  • Work efficiently and adapt to changes.
  • Must be able to work evenings, weekends and holidays, as needed.

Pay scale: $21.27 - $30.12 per hour

Bonus: This position is not eligible for a bonus under the current bonus plan requirements.
