The Absence Management team in Human Resource Management currently works a hybrid schedule with one day per week (Thursdays) on site from our Downtown SLC office and the remaining days working remote.

Leave Administrator:
Advises employees and managers on the organization's leave programs, including maternity or paternity leave, medical or disability leave, military leave, or unpaid leave. Analyzes leave claims or requests, determines employee eligibility, advises managers of alternate work arrangements, and assists departments with employees' return of service. Records leaves in the HRIS systems as needed. Ensures compliance with internal and external policies and regulations.
Answers incoming questions from employees and managers on the organization's leave programs, including FMLA leave, paid parental leave, medical leave, military leave, and non-health related leaves. Intakes leave requests and insurance claims (Workers' Compensation, Disability, and Life). Coordinates with employees, departments, and medical providers to obtain information to process leaves and claims. Refers employees to the Workplace Accommodations Team when necessary.
Enters leave-related data into the HRIS, payroll and/or leave system as needed. Performs work under supervision. Manages leave and claim issues and problems and refers more complex issues to higher-level staff. Possesses working knowledge of subject matter. Requires knowledge of leave laws (FMLA, USERRA, WC, etc.), basic skill set, and proficiency. Conducts work assignments as directed.
This position is hybrid, so the incumbent will be required to work at least one day per week onsite, but will also be able to telecommute. An employee hired into this role who telecommutes will be responsible for providing space, telephone, printing, networking, and/or internet capabilities at the telecommute location and sign the University of Utah Telecommuting Agreement

Responsibilities
Leave Administrator, I
Provides frontline support for employees and managers on leave and related insurance programs, including FMLA, parental, medical, disability, military, and workers' compensation leaves. Processes leave requests and claims, determines eligibility, coordinates required documentation, maintains leave records in HR systems, ensures compliance with applicable policies and regulations, and escalates complex cases as needed.
Performs work under direct supervision. Handles basic issues and problems, and refers more complex issues to higher-level staff. Possesses beginning to working knowledge of subject matter.
Requires a bachelor's (or equivalency) + 2 years of directly related work experience or a master's (or equivalency) degree.
Leave Administrator, II
Advises employees and managers on the organization's leave programs, including maternity or paternity leave, medical or disability leave, military leave, or unpaid leave. Analyzes leave claims or requests, determines employee eligibility, advises managers of alternate work arrangements, and assists departments with employees' return of service. Records leaves in the HRIS systems as needed. Ensures compliance with internal and external policies and regulations.
Performs work under general supervision. Handles moderately complex issues and problems, and refers more complex issues to higher-level staff. Possesses solid working knowledge of subject matter. May provide leadership, coaching, and/or mentoring to a subordinate group.
Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.
Leave Administrator I and II Department Specific Responsibilities:
Sometimes relies on expertise of others to solve problems. Utilizes resources to solve problems and answer leave and claim related questions
Responds to routine customer questions in a timely manner
May involve or escalate HR issues for resolution to others
Proficient at primary functions of leave management and understands the lifecycle of leaves and the importance of completing assigned tasks
Maintains accurate data and files
Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).

Department may hire employee at one of the following job levels:

Leave Administrator, I: Requires a bachelor's (or equivalency) + 2 years of directly related work experience or a master's (or equivalency) degree.

Leave Administrator, II: Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.

Preferences
Leave Administrator Preferences:
Familiarity with FMLA and other types of leave. Customer service focused. Proven success in managing tasks independently. Team and task oriented. Experience with PeopleSoft, UKG, and ticketing systems (e.g. Service Now).
