Job description

Title: Administrative Secretary - Temporary

Employee Classification: Clerical & Secretarial

Job Summary

This position will provide essential clerical and administrative support to the division. This position is a maximum of 29 hours per week.

Job Duties

  • Maintains and processes a variety of records, electronic or manual file systems or database files requiring classification and compilation of varied information.
  • Compiles special reports where analysis of data is required; identifies sources and extracts necessary information; performs specialized functions as identified with federal grants.
  • Ability to work with various Program Directors including those tasks that are grant in nature.
  • Provides administrative support to the director, manager and other grant staff. Such support will include preparation of forms, budgets, purchases and required reports.
  • Reviews and checks documents for accuracy prepared by others for appropriate signatures.
  • Screens applicants for grant services and enroll those who qualify into the grant program.
  • Provides office management including answering phones, responding to emails, handling incoming and outgoing mail, assisting customers by providing information and answering inquiries, assisting with various department meetings and other events.
  • Responsible for scheduling classes, handling media postings and working by posting information into the system.
  • Maintains, updates and inputs grant data for database and any other as required by grant. Processes and maintains personnel paperwork and enters contracts into Roane State system.
  • Process all requisitions and purchase orders for supplies, materials, and equipment.
  • Monitors and reconcile budgetary spending of various accounts to ensure funds are available. 

Minimum Qualifications

· Associate degree.
· Knowledge and expertise using a variety of office-related computer software packages.

Preferred Qualifications

· Prior office experience required with prior work in an educational setting preferred.
· Prior experience utilizing Banner preferred.

Some travel may be involved as well as ability to represent the college at various events.
Schedule flexibility will be needed for this position.
