Vehicle Administration Porter

PAY: USD 17.00 - USD 25.00 1st Shift: 40 hours per week Shift: Hours 7:00 am-3:40 pm – Monday-Friday Contract: Long term contract role - ongoing The position is an ongoing W2 contract. There is no end date projected. HKA offers employee paid medical and 401k on the 1st of the month after your 30th day. PTO, holiday, and sick pay are offered. MVR required Approx 80% of time will be driving vehicles

Daily Responsibilities
  • Daily responsibilities will vary based on operational needs, including vehicle movement coordination, yard management, vehicle parking, and inventory support
  • Assist with performance center vehicle pick-ups and fleet preparation activities
  • Support fleet maintenance activities, including vehicle washing and general vehicle readiness
  • Rotate responsibilities with team members to support multiple operational areas
  • Install license plates and prepare vehicles for associate delivery or exchange
  • Greet and assist associates during vehicle pick-up and exchange processes
  • Maintain organized vehicle staging areas and support efficient fleet operations
  • Provide general operational and administrative support to the fleet team as needed
Position Purpose/Scope

The Vehicle Porter is responsible for moving, staging, and preparing vehicles to support smooth and efficient traffic flow throughout the assigned facility while enhancing the overall customer experience. This role maintains organized and orderly parking areas and ensures vehicles are properly cleaned and presentation-ready. Responsibilities include operating automated car wash equipment as well as manually cleaning vehicle exteriors using approved cleaning solutions, water, cloths, and brushes as needed to maintain company appearance standards.

Position Responsibilities/Accountabilities
  • Run daily vehicle administration and inventory reports to support delivery scheduling and vehicle readiness
  • Review vehicle delivery schedules and identify any outstanding service or maintenance needs prior to delivery
  • Coordinate timely vehicle processing and prioritize vehicles for delivery preparation
  • Prepare vehicles for delivery by fueling, washing, vacuuming, installing temporary protective coverings, ID tags, and license plates
  • Schedule and coordinate vehicle service appointments with approved service providers when repairs or maintenance are needed
  • Update vehicle administration systems with service, delivery, and inventory information as required
  • Drive and transport vehicles between inventory lots, service areas, delivery locations, fueling stations, and wash facilities
  • Maintain vehicle lots and parking areas in a clean, organized, and efficient manner
  • Move and stage vehicles to support traffic flow, operational efficiency, and facility standards
  • Monitor inventory status for pool vehicles, stocked inventory, service vehicles, and holding areas
  • Identify and manage aged inventory to maintain vehicle cleanliness and prevent deterioration
  • Coordinate vehicle deliveries and exchanges with customers, associates, and team members
  • Conduct vehicle return inspections and transfer contents from returned vehicles to replacement vehicles as needed
  • Remove license plates and process returned vehicle preparation activities
  • Participate in daily team communications and support teamwork initiatives to improve operational efficiency
  • Run errands and complete operational support tasks as assigned by management
  • Assist customers with questions and direct them to appropriate personnel when needed
  • Perform facility and vehicle administration shop maintenance duties, including cleaning driveways, sidewalks, and maintaining equipment such as automated car washes
  • Check and replenish vehicle fluids and perform minor vehicle preparation tasks prior to customer delivery
  • Provide high-quality customer service while supporting the needs of various customer groups, including VIP transportation support when required
  • Follow all company safety procedures and immediately report accidents or safety concerns to management
  • Perform additional operational and administrative duties as assigned by leadership or supervisors

Education: High school diploma or equivalent Licenses and/or Certifications: Driver's license in good standing with a clean driving record. Experience: 1+ years of vehicle experience (preferred). Must be able to drive both manual and automatic transmission vehicles. Basic knowledge of cars and car parts, as well as tools and equipment. Basic knowledge of proper vehicle cleaning practices.
