About the Position

The Grants Coordinator provides administrative and project coordination support for complex initiatives related to transfer pathway development and implementation. The incumbent independently manages a broad range of moderate to complex responsibilities, ensuring work is completed accurately, efficiently, and in compliance with university policies and established guidelines.

The position is responsible for coordinating project activities, tracking deliverables and timelines, compiling and analyzing information, maintaining official documentation, and facilitating communication among diverse stakeholders. The incumbent exercises independent judgment in prioritizing assignments, interpreting policies and procedures, resolving administrative issues, and recommending process improvements to support operational effectiveness.

Serving as a central point of coordination, the Grants Coordinator collaborates with campus partners -including Facilities, academic departments, and Academic Affairs offices - and engages external stakeholders as appropriate to support advising initiatives and transfer pathway publishing. The role requires strong organizational skills, analytical ability, discretion, and the capacity to manage multiple priorities in a dynamic environment.

Responsibilities

Project Coordination and Administrative Support

Project coordination across campus partners

• Coordinate with campus departments and units to implement campus activities and campus wide initiatives. Support planning, scheduling, and execution of events and activities by coordinating with partners such as Accounts Payable, campus catering, Facilities, and supply vendors. Align timelines, manage logistics, and facilitate communication across stakeholders to support successful delivery.
• Gather and compile information to support institutional operations and initiatives. Maintain and update online resources such as webpages, portals, and tools for faculty, staff, students, and campus partners. Update program and initiative related information as directed.
• Provide administrative support requiring judgment and discretion, including coordination of communications with campus affiliates and leadership. Support travel authorizations and reimbursements, procurement and accounting coordination for office and project needs, meeting and event logistics, and compliance related coordination with Facilities as needed.

• Handle sensitive and time-critical information with a high degree of discretion, professionalism, and sound judgment. Respond to confidential matters in accordance with institutional policies and privacy standards. Provide timely, accurate, and high-quality customer service to students, faculty, staff, and campus partners, ensuring inquiries and requests are resolved efficiently and courteously.

Program Mapper Transfer Pathways Subgrant Support (Project Coordination + Publishing Readiness)

• Maintain the project calendar and milestone tracker; organize shared files; apply document management and version control practices for drafts and inputs.
• Support collection/organization of curriculum and articulation materials and compile inputs from project leads into working documents.
• Coordinate intake of map updates and supporting information; track review, outstanding items, and approvals to support timely completion of draft/near-final updated maps.
• Provide documentation support for the Program Pathways Mapper Sustainability Plan, including capturing decisions, organizing content, formatting drafts, and tracking stakeholder inputs related to version updates.
• Coordinate limited engagement sessions with stakeholders and transfer students (scheduling, invitations, logistics, materials); capture notes and summarize themes for project leads.
• Organize final materials to support publication of updated Program Mapper content and related resources; support assembly/formatting of the concise project summary report.

Minimum Qualifications

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite. These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

• Ability to analyze and handle complex problems and assignments; track multiple projects, deadlines, and dependencies.
• Ability to navigate university webpages/resources to provide correct guidance to constituents; support web/content updates as assigned.
• Ability to compile and summarize information (e.g., engagement input themes, status updates, and meeting logs).
• Knowledge of university organization, protocols, and roles; ability to coordinate across faculty/staff/leadership and external partners when needed.
• Proven ability to exercise sound judgment when managing time-sensitive or confidential matters.

Condition(s) of Employment

Satisfactory completion of a background check (including LiveScan, as appropriate), that may include, but is not limited to: criminal records check, verification of academic credentials, licenses, certificates, credit history, professional references and/or verification of work history is required for employment.  Cal State East Bay will issue a conditional offer of employment to the selected candidate, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Unsatisfactory results may also affect the continued employment of current Cal State East Bay employees who were conditionally offered the position.
All background checks are conducted through the university's third party vendor, Accurate. LiveScan is conducted through the University Police Department.
