Job description

The Admissions Assistant is a key seasonal support role, assisting the Admissions office in processing more than 11,000 applications each year. The Admissions Assistant is central to maintaining effective and timely communication with prospective students and school counselors and also ensures accurate data management and assists in making the admissions process proceed smoothly.

This is considered a temporary full-time hourly non-benefits eligible position. This position is placed in grade 2 of our compensation structure. The hiring range for the position is $20.00- $23.73 per hour.

Core Responsibilities:

  • Promotes a positive first impression of Middlebury College by assisting prospective students, applicants, and high school personnel in response to questions about admissions requirements, application status, application instructions, and related topics through a high volume of phone calls and emails. 
  • Serves as the primary contact for the main Admissions email account and responds to all inquiries via email, and via phone November through March. 
  • Logs email correspondence with applicants in a timely manner. 
  • Updates applicant records with multiple submitted materials including transcripts, test scores and supplemental material 
  • Processes and distributes incoming mail. 
  • Provides ongoing support to the Operations Team by running queries while adhering to department deadlines. 
  • Resolves records using known databases of high schools and by researching high schools online.  
  • Assists with processing and mailing requested promotional materials to schools, and helps organize, assemble, pack, and mail 1000+ student admission packets November through March.  

Requirements

    • High School diploma or equivalent plus 1-2 years of previous administrative support experience. Bachelor's degree a plus. 
    • Extensive experience in data entry and strong computer skills. Familiarity with Windows, Microsoft Word, Excel, Outlook and CRM programs, especially Slate, preferred. 
    • Excellent verbal and written communication skills. 
    • Attention to detail, ability to work independently and to effectively collaborate with Operations team on projects. 

Physical Demands & Working Conditions 

  • Sitting and operating a computer for extended periods of time. Light physical activity may be required. Additional hours may be required over holiday breaks.
