Job description

We are looking for a detail-oriented Coordinator to support television casting administration in Burbank, California. This Long-term Contract position centers on managing performer documentation, contract workflows, compliance tracking, and related administrative processes with a high level of accuracy and discretion. The role partners with teams across casting, production, legal, finance, labor relations, payroll, and studio operations to keep records current and ensure required paperwork is completed on time.
Responsibilities:
• Manage performer agreements, onboarding forms, payment-related documents, and minor paperwork for television productions while maintaining accuracy and confidentiality.
• Support day-to-day contract administration by assisting with document review, status updates, and research requests tied to active TV projects.
• Enter, verify, and maintain data across casting administration systems and confidential databases for performers, agents, and project records.
• Import payroll information from external providers and help reconcile documentation needed for timely processing.
• Monitor contract progress, clearance status, and other compliance milestones to help ensure deadlines are met.
• Prepare, organize, and submit documentation related to court approval requirements for minors.
• Scan, archive, and preserve performer files so records remain complete, accessible, and audit-ready.
• Maintain detailed tracking logs and coordinate special administrative assignments that support the broader Casting Administration team.
• Communicate with internal partners across production, legal, finance, payroll, labor relations, and studio groups to resolve documentation issues and keep workflows moving.• At least 2 years of administrative experience in an office, operations, contract support, or similar environment.
• Strong proficiency with common business software, including Microsoft Excel, Word, and Outlook, along with the ability to learn specialized applications quickly.
• Demonstrated accuracy in data entry, document review, recordkeeping, and management of high-volume administrative tasks.
• Working knowledge of contracts, onboarding paperwork, payroll support, or compliance-related processes.
• Excellent written and verbal communication skills with a detail-oriented and collaborative approach.
• Ability to handle sensitive information with discretion and maintain strict confidentiality.
• Strong organizational skills with the ability to prioritize deadlines, track details, and work both independently and as part of a team.
