General Summary:                                                                                                            

The Talent Coordinator provides administrative, recruiting, and operational support to the Human Resources team and Chief Human Resources Officer (CHRO). This position coordinates interview and recruiting activities, manages executive administrative support functions, assists with employee events and engagement initiatives, and supports Human Resources programs, communications, and departmental operations. The Talent Coordinator plays a key role in ensuring efficient coordination of talent acquisition processes, executive support activities, and employee experience initiatives across the organization.

Essential Job Functions: 

  • Coordinates interviews between candidates, hiring managers, and interview teams, including scheduling calendars, meeting invitations, conference rooms, and virtual meeting logistics;
  • Assists with onboarding preparation and new hire coordination as needed;
  • Conducts professional reference checks and documents feedback to support hiring decisions;
  • Manages calendars, meeting schedules, and meeting preparation for the CHRO;
  • Coordinates business travel arrangements including flights, hotels, transportation, and itineraries;
  • Prepares, submits, and tracks expense reports and related documentation;
  • Assists with confidential correspondence, presentations, and special projects;
  • Plans and coordinates company events, employee appreciation activities, and meetings;
  • Uses AI-enabled tools and workflow automation technologies to improve efficiency, organization, and accuracy across scheduling, candidate communications, reporting, document preparation, and administrative processes;
  • Travels to customer sites, project areas, business related events, and other Ritter Communications locations as required;
  • Performs additional administrative duties and special projects as assigned.

Knowledge, Skills, and Abilities:                                                             

  • Knowledge of scheduling, calendar management, and meeting coordination practices;
  • Knowledge of event planning and employee engagement activities;
  • Knowledge of business travel coordination and expense reporting processes;
  • Skill in utilizing agentic AI tools to build and streamline workflow automations, improving efficiency and accuracy across scheduling interviews, coordinating communication with candidates and hiring managers, providing timely status updates, and drafting HR documentation;
  • Skill in organizing and prioritizing multiple assignments in a fast-paced environment;
  • Skill in coordinating interviews and communicating professionally with candidates and leadership;
  • Skill in planning and executing meetings, events, and company functions with strong attention to detail;
  • Skill in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint;
  • Skill in maintaining confidentiality and handling sensitive information with discretion;
  • Ability to manage competing priorities and meet deadlines with minimal supervision;
  • Ability to communicate effectively both verbally and in writing with employees, candidates, vendors, and executives;
  • Ability to establish and maintain effective working relationships across all levels of the organization;
  • Ability to anticipate needs, solve problems proactively, and exercise sound judgment;
  • Ability to adapt to changing priorities and organizational needs;
  • Ability to provide high-level customer service and maintain a professional demeanor at all times;
  • Ability to work independently while also contributing as part of a collaborative team;
  • Ability to travel for business requirements; must possess a valid Driver’s License with a satisfactory driving record. 

Education and Experience:   

Associate’s degree in Human Resources, Business Administration, or a related field and two years of relevant experience (administrative support, executive support, HR coordination, or event planning), or an equivalent combination of education and experience, required.
