Job description

Job Overview

The Executive Assistant is responsible for supporting the organization, it's managers and executives with daily clerical tasks, scheduling appointments, planning meetings, managing phone calls and emails, maintaining the organization of the office. This role involves providing general support to visitors, developing, and maintaining filing systems, and creating reports and presentations.  

A Day In The Life

Every day at Hubbell is different and you'll contribute in many ways. On any given day, you'll make a difference by: 

  • Arranging and managing appointments, meetings, and conferences for senior executives, including travel planning and accommodation
  • Handling incoming and outgoing communications such as emails, phone calls, and written communications, with a high degree of professionalism
  • Maintaining and organizing records, documents, and files, both physical and digital, ensuring easy retrieval  
  • Assisting in the coordination of special projects as needed
  • Monitoring and replenishing office supply inventories  
  • Keeping the manager informed of account status, authorizes expenditures, and identifies cost effective alternatives.  
  • Maintaining calendar, preparing daily schedule, and prioritizing meeting requests for manager(s).  
  • Establishing and maintaining effective working relationships at all levels of the organization.  
  • Submitting and reconciling expense reports
  • Collaborating with other departments to support special projects, events, and initiatives
  • Addressing and resolving administrative issues, inquiries, and requests from employees and external contacts 
What will help you thrive in this role?
  • High School Diploma, Associate's Degree preferred  
  • 5+ years of previous Customer Service, Support or Administrative experience (required)
  • Proficient in Microsoft Office Suite - Outlook, Excel, PowerPoint, Word, Teams (required)
  • Possess excellent organizational and communication skills, enabling you to manage complex schedules and tasks effectively.
  • Quick thinking and problem solving to effectively address challenges and make sound decisions under pressure.
  • Demonstrated ability to handle sensitive information with the utmost confidentiality and professionalism.
