Department: Organizational Collaboration Reports to: VP, Organizational Collaboration

Purpose of Position: Primary staff responsible for the overall maintenance and supervision of United Way facilities and grounds. Ensures mechanical systems and utilities function efficiently, including HVAC, plumbing, and electrical systems. Diagnoses building and grounds issues when they arise, performing repairs, or coordinating with outside vendors and/or contractors as needed. Ensures the safety and security of all employees and visitors and is responsible for regular security checks and systems, building inspections, key access management, and compliance with all safety regulations and codes. Manages current outside building vendor relationships and actively participates in capital improvements planning and vendor selection. Collaborates with facilities and logistics staff.
ESSENTIAL JOB FUNCTIONS and EXPECTED PERFORMANCE STANDARDS/OUTCOMES include the following. Other duties may be assigned but are not limited to:
FACILITY MANAGEMENT
Manages day-to-day operations of the organization's current facilities by conducting morning walk-through of building, morning opening of employee parking lot gate, and review of daily conference room/parking lot utilization and external/internal meeting logistical needs.
Conducts regular inspections of buildings and grounds to ensure employee/visitor safety, building/office aesthetics and function, and property value preservation.
Works closely with building maintenance vendors to ensure quality service and achievement of project/service deadlines (housekeeping, HVAC, security systems, landscaping, snow and ice removal, trash removal, recycling services, floor mats, elevator maintenance)
Manages employee building access including security level, keyless entry fob distribution, inventory management, and disabling access upon employee departure.
Prioritizes and coordinates year-round scheduled maintenance projects.
Recommends annual and projected capital improvements, including budget requirements, and maintains historical documentation of completed improvements.
Provides direct maintenance services where appropriate including (but not limited to):
Plumbing repair
Electrical repair
Lock opening and repair
Carpentry work
Painting
Office Furniture Repair
Light fixture repair and installation
Carpet Cleaning
Pest Control
Coordinates security measures for facilities, including scheduling of fire alarm/severe weather tests and drills per code.
Creates, posts and maintains emergency evacuation maps and signage.
Participates in business continuity planning.
Serves as member of employee emergency response team and maintains certification in First Aid, CPR, and AED.
Responds to non-business office hours security alarm company calls.
Manages Operations and Volunteer Center warehouse space, including deliveries and pickups of supplies and donations, and forklift operation when needed.
Supports meeting room setups as needed and makes efficiency recommendations.
Provides corporate pick-up and delivery services utilizing the organization's cargo vans, including employee equipment pick-ups and deliveries.
Oversees cargo van maintenance and fueling needs.
Reviews Operations Ticket submissions and ensures timely response to employee requests for support.
Supports colleagues in logistical planning for large-scale events held at the Volunteer Center.
Provides after-hours event support as needed.
Supports supply drive product receipt and warehousing.
Maintains mapping of facility and floor plans.
Maintains air purifiers and bottle filling stations.
Maintains printers and copy machines as needed.
Other duties as assigned.
GROUNDS MANAGEMENT & WORK ASSIGNMENTS
Oversees and supports basic grounds maintenance including:
Trash control
Fence maintenance
Sidewalk cleaning
Parking lot control/cleaning
Signage control and maintenance
Detail snow shoveling and salting
Monitoring of outside property usage and trespassers
Lawncare and landscaping
Maintains on-going grounds project list.
Works closely with all grounds' maintenance service vendors
FIXED ASSET CONTROL
Controls and coordinates building-related equipment acquisition, maintenance, movement and storage.
Coordinates and ensures proper maintenance of corporate automobiles and other mechanical equipment (forklift, snow blower, lawn mower, etc.).
Maintains control over any equipment and/or furniture on loan, repair, etc.
SUPERVISORY RESPONSIBILITIES: This position has no supervisory responsibilities. However, this position works in partnership with Office Administrator and Facilities and Logistics Coordinator.

EDUCATION and/or EXPERIENCE: High school diploma or general education degree (GED) required with manual arts concentration preferred; and two years vocational training or equivalent experience; plus, six years' experience in building management, operations and maintenance.
SKILLS
Excellent manual dexterity including ability to use a wide variety of power and other hand tools.
Plumbing, electrical, light repair, basic carpentry, and integrated office partition/workspace knowledge/skills.
Fork truck operation, including required certification.
Equipment maintenance knowledge.
Clean driving record with valid Wisconsin driver's license.
Knowledge of equipment and furnishings, maintenance procedures, and sources of supply, repair and disposal.
Experience in the selection and control of vendors who provide building and grounds maintenance and service.
Knowledge of metropolitan area for pickup and deliveries.
Knowledge of basic inventory control and stocking procedures.
Knowledge of fire and building codes and OSHA requirements.
Additional knowledge of ADA facility requirements.
