Job description

As an Admin Assistant-Fleet & Procurement, you will be responsible for assisting and supporting the TDS Fleet/Procurement group across all aspects of Fleet administration and oversight including ordering, reporting, and analysis and database management. Special emphasis is on assuring accuracy of fleet reporting, database maintenance and compliance with TDS policy and state/federal reporting requirements. This position will also assist the Procurement group and Manager with various administrative and support duties including assisting with oversight various indirect spend areas including travel, office supply and general spend. Related responsibilities include auditing, providing back up for Fuel card administration, DOT vehicle compliance, insurance card renewals, maintaining the StarNet fleet site, and other duties as assigned.
Responsibilities
  • Assists in daily fleet administration, including processing orders, disposals, changes, registration renewals, and database updates. Reviews the daily transaction download report for accuracy and dependability to maintain the accuracy of the Fleet Database. Investigates errors and makes necessary corrections for processing to . Performs periodic audits of vehicles to validate and maintain the integrity of all database information to actual use.
  • Provides a high level of service to internal customers; promptly answering and returning calls, keeping callers informed of status and progress, following up on inquiries, researching and resolving issues in a complete, thorough and timely manner. Maintains positive and professional communications.
  • Assists, supports, and contributes across all aspects of Fleet oversight including: strategic and operational planning and reporting; creating daily/weekly/monthly operational reporting, assisting with planning and implementation of Fleet projects and initiatives, researching industry trends and practices as requested, contributing to strategic and operational planning across all areas of Fleet. Of particular importance is the downloading of information into and management of spreadsheets while performing analysis and reporting, along with presenting information, results and conclusions to Fleet management.
  • Provides administrative support to the Sourcing, Procurement & Fleet Department as requested. Supports the department with daily needs such as arranging meetings and lunches, office supply orders, etc. Acts as backup for order processing if requested.
  • Assists Manager/Buyer in the overall management and daily operations, oversight, and issue resolution for indirect spend categories, including office supplies, travel, and other as assigned.
  • All other duties as assigned or needed.

Qualifications
Required Qualifications
  • Associates degree (or higher) -OR- 2+ years professional work experience.
  • 1+ years of MS Word and MS Excel experience.

Other Qualifications
  • SAP experience preferred
  • (I.e. Microsoft Suite, FrontPage, Outlook, Visio) with initiative to learn and apply new technology, tools as the need arises.
  • Attention to detail and strong follow-up skills required
  • Excellent interpersonal skills, and oral and written communication skills
  • Good analytical skills
  • Organized, self-motivated, detail orientated, analytical, able to work with minimal supervision.
