Position Summary

The Payroll Tax Specialistis responsible forensuringaccurateandtimelypayroll tax processing, filings, and compliance across federal, state, and localjurisdictions. This role partners closely with ADP Tax Services as the third-party vendor for tax filing and payments, ensuring data integrity, reconciliation, andissueresolution. The ideal candidate hasstrongknowledge of payroll tax regulations, experience with multistate taxation, and the ability to manage vendor relationships effectively.

Responsibilities

Payroll Tax Processing & Compliance

  • Ensureaccuratecalculation, withholding, and reporting of payroll taxes for federal, state, and localjurisdictions.

  • Maintain compliance with all applicable tax laws and regulatory requirements.

  • Tax setup for newjurisdictions, entities, and employeesin both Workday and ADP.

  • Review and input tax rates and/or deposit frequency changes as part of client compliance efforts

  • Respond to employee inquiries and assist in resolving payroll tax-related questions, ensuring timely and accurate communication.

  • Maintainaccuratepayroll tax records and documentation for compliance and audit purposes.

ADP Tax Vendor Management

  • Serve as the liaison with ADP Tax Services for payroll tax filings and paymentsfor assigned tax companies.

  • Audit and reconcile tax datatransmittedto ADP to ensure completeness and accuracy.

  • Monitor ADP tax filing activities, including timely submission of returns and payments.

  • Research and resolve discrepancies, notices, and rejected filings in collaboration with ADP.

  • Participate in regular service reviews and escalate issues as needed.

Reconciliation & Reporting

  • Reviewemployee level tax data for accuracy and resolve discrepancies.

  • Analyze variances and resolve discrepancies between internal payroll systems and ADP reports.

  • Support general ledger reconciliation for payroll tax accounts.

  • Support internal and external audits by preparing schedules and providing documentation.

Tax Notices & Issue Resolution

  • Manage and resolve tax notices, inquiries, and audits from government agencies.

  • Partner with ADP to research notices and ensuretimelyresponses and corrections.

  • Track notice resolution andmaintainsupporting documentation.

Process Improvement & Controls

  • Identifyand implement process improvements to enhance accuracy and efficiency.

  • Develop andmaintaininternal controls related to payroll tax processing and compliance.

  • Document procedures and ensure adherence to company policies.

  • Assistwith system testing related to tax configuration changes, system updates, or new entity integrations.

Year-End Activities

  • Support year-end payroll tax processes, including W-2 preparation and validation.

  • Ensure ADP deliversaccurateyear-end filings.

  • Assistwith corrections (W-2C) when necessary.

Qualifications

Required

  • Bachelor's degree in Accounting, Finance, HR, or related field (or equivalent experience)

  • 3-5+ years of payroll tax experience in a multi-state environment

  • Experience working with ADP Tax Servicesusing Smart Compliance systemor similar third-party tax filing vendors

  • Strong knowledge of federal, state, and local payroll tax regulations

  • Experience with payroll systems (e.g., ADP WorkforceNow, Workday, or similar)

  • Advanced Excel skills and strong analytical abilities

Preferred

  • Experience with large, multi-entity organizations

  • Familiarity with tax compliance for mergers, acquisitions, or new state registrations
