GENERAL FUNCTION: Under general supervision, performs a variety of tax return support duties, including processing and tracking thousands of tax returns. Provide customer service to internal and external parties as it relates to tax return related items. Responsibilities may include handling confidential Bancorp information and this information must remain confidential.

Responsible and accountable for risk by openly exchanging ideas and opinions, elevating concerns, and personally following policies and procedures as defined. Accountable for always doing the right thing for customers and colleagues, and ensures that actions and behaviors drive a positive customer experience. While operating within the Banks risk appetite, achieves results by consistently identifying, assessing, managing, monitoring, and reporting risks of all types.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Processing a variety of tax returns, including sales and use tax returns, property tax returns, federal and state income and franchise tax returns, estimates and extensions on a monthly, quarterly and annual basis.
  • Submitting payment requests (EFT and check) prepared by other tax professionals to Accounts Payable in a timely manner.
  • Verifying that the payment request and check or EFT confirmation agrees to the prepared tax return before mailing the tax return.
  • Making copies of the payment request, check or EFT confirmation and tax return and filing according to established Tax Department guidelines.
  • Mailing tax returns according to established Tax Department guidelines (i.e., first class mail, certified mail, overnight mail, return receipt, etc.).
  • Electronically filing certain tax returns with state and local tax jurisdictions with the assistance of another tax professional.

Responsible for several other duties surrounding the tax compliance process:

  • Maintaining a Tax Calendar for federal and state income and franchise tax returns, sales and use tax returns, property tax returns and other time sensitive tasks.
  • Adding and/or deleting tax returns from the Tax Calendar following established Tax Department guidelines, forms and approvals.
  • Identifying tax returns as completed on the Tax Calendar after the tax returns have been mailed to the appropriate tax jurisdiction on a timely basis.
  • Rolling over the Tax Calendar on an annual basis with the assistance of another tax professional on a timely basis.
  • Providing due date reports from the Tax Calendar to the Tax Department on a periodic basis.
  • Maintaining a Notice Tracking Sheet for federal and state income/franchise notices.
  • Documenting/recording initial receipt of notices and providing a status report on a periodic basis.
  • Other tasks assigned as needed.

Responsible for a variety of other administrative functions including but not limited to:

  • File maintenance and off-site file retrieval and storage.
  • Ordering supplies.
  • Daily mail distribution.

SUPERVISORY RESPONSIBILITIES: None

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Minimum of a High School diploma or GED.

Minimum of four years of administrative experience supporting leaders in a matrixed environment with department policies, procedures and operations. Desired a minimum of two years of internal company experience in a support or administrative role.

Proficiency with Microsoft Office software including Word, Excel, Power Point.

This position requires excellent verbal and written communication skills necessary to interact with personnel ranging from staff to more senior management.

Ability to work both individually and as a team member.

Ability to work in professional and dynamic environment.
