What are the key skills and qualifications needed to thrive as a Task Force Operations Manager, and why are they important?

To thrive as a Task Force Operations Manager, you need strong leadership, project management, and problem-solving skills, often supported by a degree in business, management, or a related field. Familiarity with project management software, data analysis tools, and possibly certifications like PMP are commonly required. Outstanding communication, adaptability, and the ability to motivate cross-functional teams are crucial soft skills in this role. These skills and qualities are essential for coordinating complex operations, ensuring task force objectives are met efficiently, and leading teams through dynamic challenges.

How does a Task Force Operations Manager balance strategic oversight with hands-on problem-solving during critical projects?

A Task Force Operations Manager is often responsible for both high-level strategic planning and direct intervention in day-to-day challenges. In practice, this means setting clear objectives for the team while remaining flexible to step in and address unforeseen obstacles as they arise. Strong communication and delegation skills are essential, as the manager must frequently coordinate across departments and ensure all stakeholders are aligned. The dynamic nature of task force assignments also requires adaptability and the ability to make quick, informed decisions under pressure.

What are Task Force Operations Managers?

Task Force Operations Managers are professionals responsible for coordinating and overseeing the efforts of specialized teams, often assembled to address specific projects, emergencies, or organizational objectives. They manage resources, assign tasks, and ensure that the team meets its goals efficiently and effectively. Their role requires strong leadership, decision-making, and communication skills to guide the task force toward successful outcomes.

Job description

At Mongoose, we believe every conversation matters.

You are a team of one. The AI agents you build are your team of many. We're hiring you to design, build, and manage that team.

We're on a mission to change lives by making conversation intelligence accessible to all in higher education. Our AI-enabled platform drives compliant, empathetic, and impactful conversations that build trust and foster success across the student lifecycle - from admissions to alumni relations.

We're evolving how marketing operates, moving from manual execution to intelligent, autonomous systems. This role is central to that transformation.

As Marketing Operations Manager, you'll be the architect behind how our marketing engine runs and evolves. You'll own the full MarTech stack, build the workflows, and act as the strategic force connecting data, technology, and human insight into measurable impact. You'll operate as a team of one - with AI and automation as your force multiplier, giving you the leverage to think and act beyond a single headcount. You'll report directly to the Head of Marketing with a front-row seat to how strategy and execution connect.

If you enjoy automation, turning data into clear decisions, and seeing your work directly influence pipeline, you'll thrive here.

What You'll Do
  • Own the Marketing Engine - and Make It Smarter: Be the keeper of our MarTech stack, including HubSpot, and the force that evolves it. Keep the infrastructure running smoothly, the data clean, and the integrations humming. Then go further: identify where AI and automation can eliminate manual work, evaluate and deploy new tools (including HubSpot's emerging agent capabilities), set guardrails, and continuously raise the bar for how marketing operates.
  • Run the Operational Rhythm: Own the cadence that keeps marketing moving - lead routing, scoring, lifecycle nurtures, and campaign execution. Make sure the right data reaches the right people at the right time, every time.

  • Drive Lifecycle & Funnel Performance: Think beyond the campaign. Own the full prospect-to-customer journey, building nurture programs that move people through the funnel and partnering with Sales and Growth to strengthen pipeline and conversion.

  • Turn Data Into Direction: Build dashboards and reporting that tell a clear story about marketing's impact on revenue. Spot trends, flag opportunities, and give leadership the insights they need to make confident decisions.

  • Be a Force Multiplier: Model what AI-augmented marketing looks like in practice. Share what's working, document the playbooks, and help the rest of the team build fluency through the work itself - not formal training.

  • Own Events & Key Programs: Run the operational backbone of webinars, conferences, and customer programs - from registration to follow-up - ensuring every touchpoint is tracked, intentional, and tied to outcomes.

  • Manage Vendors & the Stack: Own MarTech budget, vendor relationships, and renewals. Bring rigor to every build-vs-buy-vs-automate decision and make sure every tool earns its place.

  • Keep It Clean & Compliant: Be the guardian of marketing data integrity. Stay ahead of GDPR, CCPA, FERPA, and higher-ed data considerations - because clean, structured, trustworthy data isn't just good practice, it's the foundation everything else is built on.

What You'll Bring to the Table
  • You've been here before: 4-7 years in Marketing Operations or a related B2B SaaS role, ideally in EdTech. You know the landscape and can hit the ground running.

  • You know your tools: Hands-on experience managing a MarTech stack - HubSpot (required), plus ABM and analytics tools. You don't just know what the buttons do, you know why they matter.

  • You've built things that scale: A track record of implementing automation and process optimization that actually sticks. You've made teams faster, smarter, and less reliant on manual work.

  • You're fluent in AI: Familiar with LLMs, automation platforms, and AI-powered analytics - and excited about where it's all heading. You don't wait for someone else to figure it out.

  • You think in systems: Experience designing workflows that connect data, tools, and teams. You see the whole picture and build accordingly.

  • You speak data: Strong analytical chops with the ability to translate numbers into narratives that drive decisions - not just reports that collect dust.

  • You bridge the gap: Experience aligning marketing and sales through cross-functional initiatives. You know that pipeline is a team sport.

  • You keep things moving: Excellent project management and organizational skills. Deadlines don't scare you - dropped balls do.

  • You play it straight: Solid understanding of data privacy, compliance, and governance. You know the rules and why they exist.

Bonus Points if You Have
  • Built or managed AI-driven systems or agent-based workflows.

  • Led a digital transformation or systems modernization initiative and lived to tell the tale.

Why You'll Love it Here

You'll join a team passionate about making meaningful connections in higher education and changing lives through smarter communication. We're all about collaboration, growth, and doing work that truly makes a difference.

Over 4,000 teams across more than 950 higher education institutions partner with Mongoose to Make Every Message Count. Our SaaS platform helps colleges and universities drive engagement at every stage of the student lifecycle, from admissions to alumni relations.

Our values define us, and we celebrate diversity in all its forms. If you don't meet 100% of the qualifications listed but believe you can make an impact, we encourage you to apply. We value diverse perspectives and are eager to hear what you can bring to our team.

We Offer

  • 401K with company match: 100% of the 1st 3% and 50% of the next 2%

  • Flexible PTO

  • Competitive Leave Policies

  • 13 paid holidays, including a week off between Christmas and New Year's
