The Role
ZenBusiness is seeking an experienced Business Services Specialist to join the Registered Agent team to assist with processing Registered Agent Mail and Service of Process (SOP) documents. The ideal candidate should have experience in reviewing and handling legal documents, corporate filing systems, government agency requirements, and managing a vast multitude of cases.
The position requires paying close attention to details, thinking critically, having good communication skills, responding promptly, writing and sending professional emails and correspondence, and managing large amounts of data and tasks. This position also requires the ability to identify and "work in the gray" areas as needed.
This is an on-site role, full-time from Monday to Friday, between 8 am and 5 pm, to meet the state requirements for service providers.
Responsibilities
  • Ensures that the SOP documents and Registered Agent mail, including any SOP Rejection Letters, are prepared and sent promptly.
  • Review submissions of Correspondence as needed, some within 24 hours.
  • Ability to communicate across internal and external vendors.
  • Research filing components on various government databases and public record sources, including state-specific compliance requirements.
  • Prioritize and manage a high-volume and time-sensitive workflow from submission to completion.
  • Communicate with vendors such as Registered Agents Inc. if additional information is needed.
  • Communicate across internal teams for additional information or support.
  • Calling both clients and serving parties to notify them that an SOP has been served.
  • Partner with cross-functional teams as needed to ensure accurate SOP processing
  • Assist customers with questions regarding product, service, process, billing, and general client concerns.
  • Making phone calls to clients on a daily basis.

Qualifications
  • 3+ years of experience reviewing and processing legal documents.
  • Knowledge of current Secretary/Department of State corporate statutes and filing requirements.
  • Experience with Salesforce or other equivalent CRM applications.
  • Excellent communication and interpersonal skills.
  • Ability to identify urgent fulfillment while staying on top of high-volume customer requests.
  • Comfortable with the fast-paced and ever-changing environment of a growing tech startup.
  • Can handle different types of problems and work well with others in finding solutions.
  • Can also improve processes and systems, as well as launch new products and services.
  • Ability to accomplish/complete a task while demonstrating a thorough concern for all the areas involved, no matter how small.

Bonus Qualifications
  • Tech Support Experience.
  • macOS knowledge.
  • Experience with Salesforce or other equivalent CRM applications.
  • Experience with Google File Stream, Docs, Sheets, and Adobe DC.
