Summary:
United Integrated Services (USA) is seeking a Project Support Administrator to join our team! The Project Support Administrator will be responsible for implementing and maintaining Construction Coordination/ Logistic/ Shared Services/ Construction Progress procedures for ongoing construction projects, providing support to various stakeholders with project specifications, safety regulations, inspection processes, etc. In this role, you will provide administrative support to the system/ Project management team where the need seems necessary.
** This is an onsite position located in North Phoenix**
Essential Duties and Responsibilities include the following. Other duties may be assigned.
  • Maintain accurate records of Facility work permits, work authorization, scaffolding requests and other documents, ensuring all documentation is properly filed and accessible to relevant stakeholders.
  • Schedule and plan meetings and appointments, create a master schedule for all team members.
  • Take or distribute minutes of meetings, help prepare Excel, Word, PowerPoint presentations. Create flow charts or other types of presentations to assist team members.
  • Maintain daily log of job site occurrences.
  • Assist the leaders with the invoice, payment control and all administrative related tasks.
  • Work with safety teams to ensure compliance with safety protocol and guidelines.
  • Support internal and external quality audits and prepare necessary documentation.
  • Identify areas for improvement in construction management processes and recommend solutions to enhance the overall quality of construction deliverables.
  • Ability to create, maintain, manage and administer Smartsheet.
  • Assist in compiling quotes from property owners.
  • Assist the PM in implementing training courses for new hire employees.
  • Other responsibilities as assigned.

Qualifications:
The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education/Experience:
  • High School Diploma/GED.
  • Applicants with a bachelor's degree in science, Engineering, or Construction Management, or a related field is a plus.
  • 2+ years of construction or administrative support experience is a plus.

Skills and Competencies:
  • Strong knowledge of construction methods, shared services process, quality control standards and industry practices.
  • Familiarity with project management systems, inspection procedures, and regulatory standards.
  • Proficiency in Microsoft Office Suite products (Word, PowerPoint, Excel, Outlook, Teams). Excel skills are a must.
  • Experience with Document control.
  • Experience or familiarity in Smartsheet is a plus.
  • Ability to learn and master Smartsheet/ACC/Viewpoint etc.
  • Experience with ACC Autodesk Construction Cloud is a plus
  • Excellent organizational and time management skills. Highly detail-oriented.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Ability to effectively prioritize responsibilities depending on project needs. Ability to effectively present information and respond to questions from groups of managers and employees.
  • Ability to develop and maintain successful relationships with all levels of employees, clients, and subcontractors.
  • Must be able to work under pressure and meet deadlines while maintaining a professional attitude.

Language Proficiency:
  • Excellent verbal and written communication skills in English.
