Position Summary:
The Systems Manager is responsible for the administration, optimization, and strategic support of our core property business applications, with a primary focus on RealPage. This role serves as the bridge between Property Operations, Accounting, Asset Management, and third-party vendors to ensure systems are configured, integrated, and leveraged effectively across the multifamily portfolio.

The ideal candidate combines business applications expertise with operational knowledge of multifamily property management and thrives in a fast-paced, solutions-oriented environment. This position reports to the Director of Systems

Essential Duties:
System Administration amp; Configuration
  • Serve as the system owner and administrator for RealPage PMS, exercising discretion in system configuration, controls, and operational alignment.
  • Oversee daily system operations, configuration, setup, and maintenance for new developments, acquisitions, and stabilized assets.
  • Manage property setup, chart of accounts configuration, user roles/permissions, and system modules.
  • Ensure system settings align with operational and accounting policies.
Software Integrations amp; Implementation
  • Lead implementation projects for new properties, acquisitions, and system upgrades.
  • Manage integrations between RealPage and third-party platforms (e.g., CRM, screening, revenue management, utility billing, payment processors).
  • Oversee data migrations, validation, and post-conversion audits.
  • Partner with vendors to troubleshoot integration issues and improve system performance.
Process Improvement amp; Automation
  • Collaborate with Operations, Accounting, and Asset Management to identify inefficiencies and design scalable system-based solutions.
  • Develop and implement automated workflows within RealPage to streamline leasing, resident lifecycle, and financial processes.
  • Standardize best practices across the portfolio to enhance operational consistency.
Support amp; Troubleshooting
  • Serve as primary point of contact for all property technology inquiries.
  • Maintain a structured helpdesk or ticketing system for issue tracking and resolution.
  • Diagnose and resolve system errors, reporting discrepancies, and user access issues.
  • Escalate complex issues to RealPage support and ensure timely follow-up.
Training amp; SOP Development
  • Develop and maintain Support Desk Standard Operating Procedures (SOPs).
  • Create user guides, system documentation, and process flow diagrams.
  • Conduct training sessions for onsite teams and corporate staff on RealPage functionality and updates.
  • Lead onboarding training for new hires and refresher sessions as needed.
Data Compliance amp; Integrity
  • Ensure accuracy and completeness of system data across the portfolio.
  • Conduct periodic audits of user permissions, property settings, and financial configurations.
  • Maintain compliance with company policies, internal controls, and regulatory requirements.
  • Implement controls to safeguard sensitive resident and financial data.
Reporting amp; Analytics
  • Develop and validate operational and financial reports within RealPage.
  • Analyze support desk metrics and system usage data to identify trends and improvement opportunities.
  • Track key performance indicators (KPIs) related to system adoption, issue resolution, and process efficiency.
  • Provide executive-level reporting and insights to leadership.
Qualifications amp; Experience
  • Bachelor's degree in finance, business management, or a related field, from a four-year college or university, preferred.
  • Experience with portfolio-level system standardization
  • Prior involvement in PMS conversions or large-scale implementations
  • Experience working in a growing or acquisition-driven organization.
  • 3-7 + years of experience in multifamily property management systems administration.
  • 3+ years of hands-on RealPage PMS System Administration experience required, including back-end system configuration, user security/permissions, property setup, financial configuration, integrations, and portfolio-level administration.
  • Experience supporting property operations and account teams strongly preferred.
  • Experience with systems integrations, APIs, and data imports/exports
