QUALIFICATIONS:
  1. Strong background knowledge and experience in the State of Delaware First State Financials (FSF) accounting system.
  2. Experience and strong knowledge of MS Office (Excel, Word, PowerPoint, and Access), Google Drive, and related software programs.
  3. Strong experience in financial processing, purchasing, and vendor coordination.
  4. Knowledge of district operations related to facilities, maintenance, and capital projects.
  5. Ability to develop effective working relationships with colleagues, staff, vendors, and community members.
  6. Effective written and oral communication skills.
  7. Must have completed support staff application packet, letter of interest, and current resume on file prior to closing date.

PREFERRED QUALIFICATIONS:

JOB DESCRIPTION:
Provide administrative and operational support to the Facilities Department, including but not limited to financial processing, vendor and contract coordination, maintenance operations support, capital project tracking, and facilities usage. Incumbent is responsible for processing departmental FSF transactions and supporting the day-to-day operational functions of the Facilities Department.
PERFORMANCE RESPONSIBILITIES MAY INCLUDE THE FOLLOWING:
  • Provide administrative and operational support to the Supervisor of Facilities and Coordinator of Buildings and Grounds.
  • Process all accounting requirements for the Facilities Department, including purchase orders, vouchers, invoices, and vendor information within the FSF system.
  • Maintain financial processes related to departmental budgets, capital projects, and operational expenditures.
  • Review and process various types of financial transactions in FSF accounting systems related to job assignments.
  • Prepare and process supporting documentation related to district procurement and vendor payments.
  • Assist with the verification of vendor information and the coordination of contract documentation.
  • Support tracking and documentation of minor and major capital projects, including project costing entries and supporting records.
  • Assist with the preparation of reports, including monthly, quarterly, and audit-related documentation.
  • Provide assistance and supporting documentation for internal and/or external audits.
  • Coordinate and support facility usage requests, including scheduling, event setup coordination, and use of the School Dude system.
  • Assist with the processing and tracking of work orders and maintenance requests.
  • Serve as a point of contact for staff, custodians, vendors, and community members regarding facilities-related inquiries.
  • Provide professional customer service and timely responses to staff inquiries.
  • Meet with community members, visitors, and vendors as necessary.
  • Coordinate purchasing activities for the Facilities Department.
  • Maintain records, files, and documentation related to facilities operations, contracts, and procurement.
  • Performs other duties as assigned by the Supervisor of Facilities.
