Executive Assistant

ADAT SHALOM is a vibrant, Conservative Jewish synagogue located on the Westside of Los Angeles.

Adat Shalom is a warm and welcoming community. We are a growing and thriving congregation, serving those who seek a warm place to pray, learn and feel connected. Our dynamic community provides creative and engaging programs, live concerts, Religious School and more.

This is a multi-faceted position with potential for growth. Qualified candidates must be technically skilled, highly organized, detail-oriented, and have outstanding written and verbal communication skills. Excellent computer skills, as well as some experience with database software are a must. The position manages daily office operations and administration, as well as special projects.

Position Responsibilities:

  • Assist Executive Director with project implementation, including membership development, event logistics, infrastructure projects and day to day operations.
  • Data entry, maintain database, yahrzeit and lifecycle information
  • Accounts receivables, accounts payable, scheduling payment plans, making deposits, issuing reimbursements, adjusting billing details
  • Assist Rabbi as needed, including calendaring, congregant contact, lifecycle event updates, etc.
  • Interact with a wide variety of constituents in a flexible and compassionate way, including synagogue members, board of directors and potential members.
  • Provide support to office team as needed, especially during peak periods.
  • Day-to-day logistics management of on site events, facility rentals, security team, vendors, volunteers, etc.
  • Manage and evaluate routine procedures and projects including but not limited to membership, coordinating meetings and holiday events (i.e. High Holidays)
  • Screen and redirect, prioritize, and/or respond to mail, e-mail, voicemail and appointment and information requests

Position Requirements and Skills

  • Excellent organizational skills, with ability to prioritize work and tight deadlines
  • Strong proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Publisher)
  • Experience with Shulcloud, Quickbooks, Bill.com, Social Media platforms, Canva and Constant Contact, a plus.
  • Strong computer and technical skills, with ability to learn new software programs, processes and systems
  • Proactive and resourceful mindset, capable of taking initiative and managing tasks independently.
  • Strong interpersonal skills, high level of personal and professional integrity
  • Familiarity with Jewish lifecycle and an appreciation for the importance of a synagogue in a Jewish Community a plus
  • Occasional evenings, weekends, and on site support for religious holidays, (High Holidays, fundraiser events, etc.)

Experience/Education

  • Position: Full time
  • Experience: Minimum 2-3 years in similar position
  • College Degree: Bachelor's degree is preferred

Salary Compensation:$26 - $32/hr, commensurate with experience
