Over The Rainbow Surrogacy is a growing boutique surrogacy agency seeking an experienced, highly motivated Senior Surrogacy Case Manager / Program Coordinator to join our team.

We are looking for someone who is hardworking, honest, proactive, organized and genuinely passionate about surrogacy. This is not a position for someone who simply wants to check boxes or wait to be told what to do. We want someone who takes ownership of their work, communicates exceptionally well and cares deeply about providing our intended parents and gestational carriers with an outstanding experience.

About Over The Rainbow
Over The Rainbow is a boutique surrogacy agency built from personal experience with surrogacy. We pride ourselves on providing highly personalized support to our intended parents and gestational carriers throughout their journeys.

Because we are a newer, growing agency, our current caseload allows our team to be very hands-on. This position therefore extends beyond traditional case management and offers the opportunity to be involved in multiple aspects of the agency.

As our number of active journeys grows, this position will increasingly transition into a dedicated senior case-management role.

Responsibilities

Surrogacy Journey Management

  • Independently manage gestational carrier journeys from match through postpartum.
  • Serve as a primary point of contact for intended parents and gestational carriers.
  • Maintain consistent communication and provide thoughtful, compassionate support throughout each journey.
  • Coordinate and track medical screening, psychological clearance, background checks, legal clearance, insurance, escrow, medications, embryo transfer, pregnancy milestones, delivery and postpartum needs.
  • Communicate with IVF clinics, attorneys, escrow companies, insurance professionals, mental‑health providers and other members of the journey team.
  • Identify potential problems early and proactively work toward solutions.
  • Handle sensitive or difficult conversations professionally and calmly.
  • Maintain accurate and detailed case notes, records, deadlines and follow-ups.

Gestational Carrier Screening & Clearance

Because we are currently a boutique agency with a manageable number of active cases, this position will also assist with the GC clearance process, including:

  • Reviewing prospective GC applications and qualifications.
  • Assisting with intake calls when needed.
  • Reviewing medical and pregnancy history for potential eligibility issues.
  • Coordinating collection and review of medical records.
  • Working with clinics and other professionals during pre-screening and medical clearance.
  • Tracking psychological evaluations, background checks, OB/MFM clearances and other required screening.
  • Identifying potential concerns or disqualifying factors and escalating them appropriately.
  • Helping ensure candidates are truly ready for matching before being presented to intended parents.

Recruitment & Matching Support

  • Assist with gestational carrier recruitment and outreach.
  • Build relationships with prospective carriers and maintain engagement throughout the screening process.
  • Help identify strong potential matches between GCs and intended parents.
  • Participate in match meetings and follow-up.
  • Assist with profiles and other matching materials when necessary.
  • Maintain relationships with sister agencies and industry partners.

Team & Agency Operations

This is a growing boutique agency, so we are looking for someone who is comfortable wearing multiple hats.

Depending on agency needs, you may also assist with:

  • Improving internal workflows and case-management procedures.
  • Training or supporting junior team members.
  • Helping oversee GC intake and clearance.
  • Maintaining CRM and case-management systems.
  • Following up on outstanding tasks and documentation.
  • Helping management identify operational problems and develop solutions.
  • Other responsibilities related to supporting our GCs, intended parents and growing agency.
  • As our active caseload grows, these additional operational responsibilities will decrease and the position will become increasingly focused on dedicated case management.
Who We're Looking For

Prior professional surrogacy-industry experience is required.

  • Understands the surrogacy process from screening and matching through medical, legal, transfer, pregnancy and delivery.

  • Is compassionate but capable of handling difficult conversations and enforcing boundaries.

  • Is comfortable working independently in a remote environment.

Compensation
  • Starting salary: $68,650+, depending on experience

Additional compensation opportunities may be available for successful gestational carrier recruitment/referrals.
