Job Title: Field Support Administrative Assistant

Reports to: Field Support Manager

Location: Kernersville, NC

JOB PURPOSE: The Field Support Administrative Assistant serves as a liaison between field operations and office personnel. This position performs essential administrative tasks that support an organized and efficient operation, including data entry, document tracking, reporting, work-order processing, and maintaining detailed spreadsheets and trackers.


JOB RESPONSIBILITY SUMMARY INCLUDED BUT NOT LIMITED TO:

Develop and maintain detailed spreadsheets, reports, and trackers.

Collaborate with foremen, supervisors, and superintendents to support operational and customer needs.

Coordinate and maintain work-order and project trackers.

Verify and process required work documentation, permits, and customer records.

Receive and distribute work orders through customer portals and email.

Enter and manage NC 811 One Call locate requests.

Assist field personnel with questions regarding locate tickets, work orders, documentation, and project requirements.

Process completed projects for internal and external customer records.

Communicate job-specific information to subcontractors.

Process subcontractor invoices and supporting documentation for passthrough billing.

Assist with operational projects, deadlines, and customer commitments.

Complete assigned work accurately and within required timelines.

Research missing or conflicting information and communicate issues requiring resolution

Perform other duties as required to support local field operations and customer needs.


REQUIRED KNOWLEDGE, SKILLS, & ABILITIES:

Education Required: High School Diploma

Preferred: Degree or certificate in business administration, office administration, or a related field.


Experience Preferred:

Two or more years of administrative or operational support experience.

Experience in construction, utilities, or natural gas operations.

Experience with customer service, work-order processing, or NC 811 One Call.

Experience maintaining spreadsheets, trackers, and detailed records.


Special Knowledge/Skills - Required:

Ability to communicate professionally and effectively in writing, by phone, and in person with employees, field leadership, customers, subcontractors, and other business partners.

Strong interpersonal, teamwork, and problem-solving skills.

Working knowledge of Microsoft Excel, Word, Outlook, and other Microsoft Office applications.

Strong attention to detail and the ability to manage multiple priorities accurately.

Ability to meet deadlines in a fast-paced environment.

Ability to independently research discrepancies, identify missing information, and escalate issues appropriately.

Ability to learn and work within multiple customer portals and internal systems.
