Administrative CoordinatorBe the behind-the-scenes superhero who keeps Kids Kottage running smoothly!

Kids Kottage is looking for an organized, compassionate, and flexible Administrative Coordinator to help keep our office, shelter operations, staff, and children supported every day.

This is more than a desk job. One moment you may be coordinating staff training, the next you may be helping with shelter operations, supporting a child’s basic needs, or making sure a vehicle, file, or supply cabinet is exactly where it needs to be. If you love variety, teamwork, and making a meaningful difference, you may be the perfect fit!

What You’ll Do
  • Keep staff personnel files accurate, organized, and up to date.
  • Conduct employment background checks.
  • Coordinate staff training from start to finish, including:
    • Scheduling classes and trainers
    • Reserving rooms
    • Notifying staff
    • Documenting completed training
  • Help ensure smooth day-shift shelter operations when the Administrative Director is unavailable.
  • Supervise and support staff while coordinating with Washoe County Department of Social Services.
  • Help oversee children’s programs and contribute to a safe, nurturing shelter environment.
  • Provide basic care to shelter children as needed, including feeding, bathing, diapering, and changing clothing.
  • Keep office systems operating efficiently.
  • Oversee filing, vehicle maintenance, purchasing, and communication with the corporate office.
  • Provide guidance and oversight to Receptionist, Cook, and Transportation Runner positions.
  • Monitor inventory and property control.
  • Submit retroactive billing and petty cash reconciliation paperwork.
  • Follow all Company policies, procedures, and shelter-operation practices.
  • Jump in wherever needed—because at Kids Kottage, teamwork matters!

You’re a Great Match If You Have
  • At least three years of experience involving office management, filing, data processing, and/or staff supervision; or
  • A degree in business, clerical studies, or a related field plus at least one year of relevant experience.
  • Education or experience in behavioral sciences, child development, or a related field is preferred.
  • Strong organization skills and attention to detail.
  • The ability to multitask while remaining calm, professional, and compassionate.
  • Excellent communication and follow-through.
  • The flexibility to support both administrative responsibilities and hands-on shelter needs.
  • The ability to qualify as a Direct Care Staff Member (DCSM) through Washoe County Human Services Foster Care Licensing.
