Job description

Front Desk Receptionist/Administrative Assistant 

Location: Woodruff, SC (Onsite – Airsys HQ) 
Department: Administration / Operations 

Position Overview 

Airsys is seeking a professional, personable, and highly organized Front Desk Receptionist / Administrative Assistant to serve as the first point of contact at our new U.S. headquarters. This role plays a key part in creating a welcoming, polished experience for customers, partners, and visitors while also supporting cross-functional administrative needs across the organization. 

This is a full-time, onsite role requiring strong communication skills, attention to detail, and the ability to multitask in a fast-paced, growing environment. 

Key Responsibilities 

Front Desk & Visitor Experience  

  • Greet and welcome all visitors, customers, and partners in a professional and friendly manner. Direct visitors to the appropriate person and office 
  • Serve as the “face of Airsys” by delivering a high-quality, brand-aligned first impression  
  • Coordinate visitor check-in, badging, and meeting logistics. Provide general support to visitors and resolve administrative problems 
  • Maintain a clean, organized, and presentable front office and lobby area  
  • Support marketing initiatives by assisting with showroom readiness, materials, and customer visits  
  • Answer and route incoming calls and emails appropriately 

Administrative & Cross-Functional Support 

  • Handle all administrative duties, make, monitor and control administrative expenses within the assigned budget and take initiative for cost control 
  • Provide administrative support across departments (HR, Sales, Operations, Finance, etc.) as needed  
  • Assist with scheduling meetings, coordinating conference rooms, and managing calendars  
  • Order, organize, and maintain office and pantry supplies; ensure common areas are stocked, including food/beverages etc 
  • Help manage office supplies, vendor coordination, and general office operations  
  • Assist with internal events, meetings, and company functions  
  • Receive, sort, and distribute incoming and outgoing mail, packages, and handle courier services 

Office Management & Facilities Coordination  

  • Implement and uphold 5S workplace organization standards throughout the office. 
  • Oversee cleanliness and sanitation of workspaces, pantries, restrooms, and common areas; liaise with cleaning vendors and perform routine inspections. 
  • Monitor cafeteria/break room conditions, ensure compliance with health and safety standards, and coordinate with food service providers as needed. 
  • Assist with business visa application support for employees, including document collection, form guidance, and coordination with travel/immigration partners. 
  • Maintain office security by following safety procedures and controlling access via the reception desk(monitor logbook, issue new hire/ visitor badges) 
  • Manage office access cards, seating plans, and minor facility issue reporting. M 
  • Support environmental health & safety (EHS) initiatives and emergency preparedness activities. 

Coordination and Report 

  • Coordinate internal communications and ensure timely follow-up on requests  
  • Serve as a liaison between departments for administrative needs  
  • Administers hourly timekeeping records and transmits to C&B  to assure complete and accurate payroll processing, esp. leave and OT control, ensure all follow policy and process. 
  • Support to organize and implement employee activities to build and drive a positive company culture. 
  • Make daily updates and regular reports. 

Perform other duties as assigned. 

Qualifications 

  • Associate’s degree or above in business administrative or related field preferred. 
  • 2+ years of experience in a receptionist, administrative, or customer-facing role  
  • Strong interpersonal and communication skills with a professional demeanor  
  • Highly organized with strong attention to detail and multitasking ability  
  • Ability to work independently and support multiple teams simultaneously  
  • Positive, proactive attitude with a customer-service mindset, resilient, self-directed and self-motivated. 
  • Results-oriented with strong ownership. Willing to take challenges, working with passion and sense of responsibility  
  • Strong work ethic, and willingness to learn 
  • Able to work well in a global and multi-culture environment is preferred 
  • Proven track record of taking full end-to-end responsibility for deliverables, ensuring accuracy, timeliness, and compliance in all tasks 
  • Ability to maintain confidentiality and handle sensitive information with discretion. 
  • Proficient in Microsoft Office (Outlook, Word, Excel, Teams) 

Preferred: 

  • Experience in a corporate, manufacturing, or technical environment  
  • Exposure to supporting marketing or customer-facing events/visits
