REQUIREMENTS:

Preferred but not required: Experience with Frontline IEP (or similar programs), understanding of CSE systems and process, experience with data reporting systems.

JOB DESCRIPTION
Secretary to the Directors of Student Services
PRIMARY RESPONSIBILITY
Perform secretarial duties in the Student Services Office for the Directors of Student Services. Work requires knowledge of district policy and procedures and requires judgement and initiative to effectively handle the wide variety of situations which arise daily.
Job Duties:
  • Answers the telephone, makes appointments, and answers routine questions.
  • Organize and maintain database for students' Individual Educational Program (IEP).
  • Prepare State Education Department reports and keep accurate accounting of special education programs and related services.
  • Schedule, prepare, and monitor Committee on Special Education (CSE) and Committee on Preschool Special Education (CPSE) meetings and reviews.
  • Field questions regarding CSE and CPSE from parents, school personnel and community agencies.
  • Prepare reports related to special education as requested.
  • Maintain and preserve confidentiality of student records and communications when

in contact with parents, agencies and staff.
  • Operate computer and run multiple software applications.
  • Schedules Special Education transportation; acts as liaison (school year & summer school)
  • Knowledge of state education laws related to special education
  • Process PO requisitions for tuition and consultant services.
  • Train/inform Special Ed staff as needed with updates to IEP Direct database
  • Participate and facilitate ongoing data accuracy across district, BOCES, and state reporting systems
  • Records Clerk for SWD (Students with Disabilities): send transcripts, progress reports to Irondequoit High School Records Clerk.
  • Update Infinite Campus as needed, for out-of-district placement and non-public records.
  • Prepares and processes ESY paperwork, IEP's for in-district and out-of-district students.
  • Perform other duties as assigned.

Per Civil Service - Clerk II with typing:
Full performance knowledges, skills, abilities and personal characteristics: Good knowledge of office terminology, practices, procedures, routines and equipment; good knowledge of business arithmetic and English; good knowledge of the techniques involved in record keeping; good knowledge of the techniques involved in establishing and maintaining a filing system; skill in accurately keyboarding at 40 words per minute; ability to conduct searches for information from various sources; ability to work with forms; ability to prepare written communication, arithmetic and standard written reports; ability to operate office machines such as the electronic work station, adding machine, calculator, photo copier and facsimile machine; ability to understand and carry out complex oral and written instructions; ability to express oneself clearly; ability to readily acquire familiarity with departmental organization, functions, laws, policies and regulations; ability to deal with the public; good judgment in solving relatively complex clerical problems; initiative; resourcefulness; tact; courtesy; integrity; health commensurate with the demands of the position. DISTINGUISHING FEATURES OF THE CLASS: This position is responsible for the performance of difficult and complex clerical tasks, requiring independent judgment and decision-making. The use of a personal computer for word processing and database entry and manipulation is an integral part of the position. The work is performed in accordance with general instructions regarding objectives, policies, and procedures. The work is usually submitted in its final form and is not subject to detailed or immediate review. The employee reports directly to, and works under the general supervision of, a higher-level employee. General supervision may be exercised over a subordinate staff. Does related work as required.

MINIMUM QUALIFICATIONS: Graduation from high school or possession of an equivalency diploma, plus EITHER:
(A) Graduation with an Associate's degree or successful completion of at least sixty (60) credit hours from a college or university; OR,
(B) Two (2) years paid full-time or its part-time equivalent office clerical or secretarial experience*; OR,
(C) An equivalent combination of education and experience as defined by the limits of (A) and (B) above.
*Experience as a Teller, Cashier or Sales Clerk will not be considered appropriate experience for the purposes of these minimum qualifications.
