Overview of Role:
The Student Life & Activities Operations Coordinator provides essential logistical and administrative support for major student programs at Fairfield Prep. This role coordinates travel, retreats, service events, student programming, and operational needs across Student Life. The Coordinator also provides administrative support to Campus Ministry, the Diversity & Community Engagement Office, and the McLeod Innovation Center to ensure smooth execution of mission-centered programming.
This position reports to the Principal of Fairfield College Preparatory School.
Responsibilities Include:
  • Student Travel & Transportation Coordination
    • Coordinate all local, regional, and domestic transportation for student activities and field trips.
    • Communicate with transportation vendors and confirm schedules, rosters, and logistical details.
    • Ensure proper documentation and compliance for permissions, travel forms, and approvals.

  • Campus Ministry & Service Program Support
    • Provide administrative support to the Director of Campus Ministry, including preparation of materials, communications, and scheduling for retreats and liturgical events.
    • Assist with logistics for retreats, service programming, and ministry-related events.
    • Coordinate FMX reservations and event space scheduling in support of Campus Ministry programs.

  • Diversity & Community Engagement Support
    • Provide administrative and logistical support to the Diversity & Community Engagement Office.
    • Assist with planning and execution of programming (e.g., Black History Month, No Place for Hate, speaker events).
    • Coordinate communication, materials, scheduling, and data tracking for SEED student programming.
    • Support mentoring programs and other initiatives promoting inclusion and belonging.

  • McLeod Innovation Center Support
    • Ordering and organizing supplies in the McLeod Innovation Center
    • Supporting summer camps and special events
    • Managing the McLeod Innovation Center calendar of events

  • Student Activities & Event Operations
    • Support planning, scheduling, and logistics for Student Life events, including class programming, advisory activities, and community-building experiences.
    • Coordinate space requests, technology needs, and event setups for Student Life activities.
    • Prepare materials and assist with communication regarding student programs.

  • Administrative & Operational Support
    • Manage Student Life business processes, including purchase orders, invoicing, travel authorizations, and vendor coordination.
    • Maintain organized digital and physical filing systems for Student Life, Campus Ministry, and Diversity.
    • Provide occasional evening or extended-day support for retreats, service events, or major student programs.

Performs such other duties, responsibilities, and activities as required by supervisor and as departmental/Fairfield Prep needs indicate.
Education and Experience Requirements:
  • Must have experience with, or be familiar with, the mission of Catholic, Jesuit education.
  • Strong organizational skills with the ability to manage multiple ongoing projects.
  • Excellent communication and teamwork abilities.
  • Experience supporting student programs or mission-driven organizations preferred.
  • Comfort with logistics, scheduling, and event coordination.
