Job description

Job Summary

The Project Administrator II is responsible for providing administrative, secretarial, and clerical support to the project. They will maintain a professional working relationship with owners, architects, engineers, subcontractors, and suppliers and may supervise and provide training for the Project Secretary, as well as participate in the Individual Development Review for that employee. Project Administrator II is for employees with 2 years of experience in this position, or with experience on larger and more complex projects. This position is 100% on-site and not eligible for remote or hybrid work. This position is not eligible for visa sponsorships. 

Key Responsibilities:

  1. Oversee project timekeeping activities by reviewing labor reports, validating timecards, maintaining administrative timesheets, and coordinating timecard corrections and labor reallocations to ensure accurate labor reporting. 

  2. Generate, analyze, and maintain project reports related to labor, payroll, invoicing, inventory, and other operational metrics.

  3. Process accounts payable by managing vendor invoices, assigning cost codes, routing approval workflows, establishing vendors, and monitoring customer and vendor invoice status. 

  4. Support project accounting by reviewing payroll reports, maintaining accurate project financial records, and assisting with cost reallocation. 

  5. Establish and maintain project administrative workflows and support project startup activities. 

  6. Maintain project files, records, and documentation throughout the project lifecycle. 

  7. Assist with project closeout by preparing reports and ensuring project documentation is complete and accurate. 

  8. Coordinate project administrative activities and provide general administrative support to project leadership. 

  9.  Perform additional administrative duties and special projects as assigned.

Minimum Job Requirements:

1.    Good organizational skills are necessary.
2.    Must be proficient with word processing and spreadsheet software.
3.    Proficient use of all Microsoft Office Suite programs.
4.    Two-year accounting degree or equivalent combination of business training and/or related experience.

Physical Requirements:

1.    May stoop, kneel, or bend, on an occasional basis
2.    Must be able to comply with all safety standards and procedures
3.    Required to use hands to grasp, lift, handle, carry or feel objects on a frequent basis
4.    Will interact with people and technology frequently during a shift/workday
5.    Will lift, push or pull objects up to 50Ibs on an occasional basis.
6.    Will sit, stand or walk short distances for up to the entire duration of a shift/workday.
7.    Will use telephone, computer system, email, and other electronic devices on a frequent basis to communicate with internal and external customers or vendors
