Job description

The Reservations Coordinator is responsiblefor providing genuine hospitality and the highest quality of service to our guests. This position is a member of the front office team and acts as a liaison between Sales, Front Office, and the University.
Pay Rate: $25.00
ESSENTIAL DUTIES & RESPONSIBILITIES:
  • Handle incoming phone calls, emails, and online reservation inquiries.
  • Process new reservations, modifications, and cancellations accurately.
  • Provide guests with information about room types, rates, hotel amenities, promotions, and university information.
  • Maintain accurate guest records for high-priority university dates.
  • Verify guest information and ensure reservation details and billing are accurate.
  • Coordinate with the sales department and input group rooming lists and bookings.
  • Foster a professional rapport with university contacts and parents.
  • Develop and maintain professional relationships with all associates. Inform the manager of any reservation related issues and how to resolve them.
  • Assist in booking and blocking all rooms according to required standards.
  • Monitor, audit, and maintain billing and reservation information across systems, identifying and correcting discrepancies to support efficient operations and revenue accuracy.
  • Attend sales and front office meetings, weekly.
  • Maintain knowledge on all room types, availability, and rates.
  • Attend to guests' needs and requests, including setting up and scheduling wake-up calls and outgoing taxis, making restaurant recommendations, resolving billing issues and complaints.
  • Act as front desk support as needed.
  • Ensure total awareness of arriving VIP's; communicate them as needed.
  • Coordinate with the front desk, housekeeping, and other departments to meet guest requests.
  • Maintain a safe and clean work environment.
  • Perform other duties as assigned by leadership.
  • Ensure compliance to all security and safety standards and adhere to optimal utilization of all hotel's software systems.

Experience:
  • One year in a customer facing role.

Skills & Abilities:
  • Ability to maintain a friendly, cheerful, and courteous demeanor at all times.
  • Ability to positively communicate and interact with all hotel departments.
  • Excellent verbal and written interpersonal communication skills.
  • Strong organizational skills, including follow-up, time management, ability to multi-task and manage multiple priorities in a fast-paced environment.
  • Flexibility to work any shift, including evenings, weekends,
  • and holidays.
  • Proficiency in English required.
