Job Summary

Under the supervision of the Associate Vice President, Student Success & Engagement  this position performs complex, confidential, challenging and fiscal responsibilities in support of AVP and his assigned areas, Student Affairs Sr. Management, and VP's office ensuring compliance with regulations and requirements.   

This position requires broad knowledge of campus systems, and the ability to assess, formulate, and evaluate the impact of recommended or implemented policies from an operational perspective. This position is expected to handle routine matters independently, seeking assistance from supervisors only with regard to the more difficult problems or situations.

Furthermore, this position provides services that are equitable, inclusive and provide culturally sensitive services that enhance the quality of campus life. This position uses a student centered and equity minded approach in all communication and service efforts.

Key Responsibilities

• Operational Coordination: Oversees and coordinates daily operations, processes, and resources to ensure efficient, effective, and seamless program or departmental functioning.
• Fiscal Coordination: Manages budget-related activities, financial tracking, purchasing, and reporting to support responsible stewardship of program or departmental funds.
• CSULB Village Program: Supports the administration and delivery of services, programs, and residential operations that foster a safe, inclusive, and engaging living-learning environment for student residents at CSULB's Beachside Village.

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.

• Hiring Range: The hiring range for this position is $4,799 (Step 1) - $5,736 (Step 10) per month commensurate with candidate's education, experience, skills, and training.
• CSU Classification Salary Range: The CSU Classification Salary Range for this position is $4,799 (Step 1) - $6,992 (Step 20) per month.

Knowledge, Skills, and Abilities

The ideal candidate is a highly organized and proactive administrative professional with strong operational, fiscal, and program coordination experience, preferably within a higher education environment. They possess the ability to manage complex administrative functions in support of senior leadership, including coordinating calendars, meetings, travel, communications, special events, and strategic initiatives. This individual serves as an effective liaison for students, parents, faculty, staff, community members, and external partners, providing exceptional customer service, facilitating communication, resolving concerns, and ensuring the timely dissemination of information. They are skilled at developing and implementing processes, coordinating programs and events, preparing correspondence and reports, maintaining records and databases, and supporting divisional priorities while exercising sound judgment, discretion, and attention to detail.

The successful candidate demonstrates strong financial and analytical skills, with experience managing budgets, monitoring expenditures, reconciling accounts, processing procurement and travel transactions, coordinating payroll activities, and ensuring compliance with university policies and procedures. They are adept at analyzing financial data, identifying discrepancies, preparing budget projections and reports, and providing recommendations that support responsible fiscal stewardship. Their ability to coordinate hiring and recruitment processes, track supplemental funding sources, and maintain accurate financial and payroll records contributes to the efficient operation of assigned departments and programs.

In addition, the ideal candidate provides leadership and coordination for the CSULB Village Program, overseeing program operations, events, assessment activities, communications, and stakeholder engagement efforts. They collaborate effectively with campus departments, community organizations, and external partners to expand resources, support student engagement, and advance student success initiatives. With strong project management and organizational skills, they coordinate program logistics, monitor budgets, maintain documentation, develop promotional strategies, and evaluate program outcomes to ensure continuous improvement. Above all, they demonstrate a commitment to student success, inclusive community building, operational excellence, and the effective support of university and Student Affairs goals.

Education and Experience

Equivalent to a bachelor's degree in a related field and two years of administrative support experience required.

Master's degree in a related field preferred.

Licenses / Certificates

Possession of valid California Driver's License in order to operate a University cart or personal vehicle for  business preferred.

Employees who are required to operate motorized vehicles and/or use their personal vehicle more than once a month on University business are required to take a mandatory Defensive Driving course and enroll in the DMV Employee Pull Notice (EPN) Program.
