Position Summary
The Registration Services Analyst [Administrative Analyst/Specialist Non-Exempt] supports SDSU's Registration Services operations by helping ensure accurate, timely, and compliant registration and student record services. Working with students, faculty, staff, and campus partners, this role handles complex registration and record issues, maintains the integrity of student information, coordinates undergraduate diploma processes, and supports federal Title IV reporting compliance requirements. The position is ideal for someone who enjoys problem-solving, working with data and systems, and providing responsive service in a collaborative university environment.
Key Responsibilities
- Support registration and student record services by processing petitions, enrollment transactions, record updates, certifications, transcripts, and other specialized requests while maintaining accuracy and confidentiality.
- Research and resolve complex registration and record issues, interpreting university, CSU, and federal policies and collaborating with campus partners when situations require additional analysis or coordination.
- Serve as a resource for students, faculty, and staff, providing clear guidance on registration procedures, enrollment requirements, student records, and time-sensitive or specialized circumstances.
- Coordinate diploma-related processes, including diploma ordering, reissues, name updates, returned diplomas, notarization requests, vendor coordination, and student inquiries.
- Coordinate Title IV engagement verification activities each term, including timelines, faculty outreach, roster monitoring, troubleshooting, and follow-up to support federal financial aid compliance.
- Analyze and validate student record and enrollment data utilizing complex reports and queries, identify discrepancies, and perform quality assurance to support accurate reporting and operational decision-making.
- Support regulatory and institutional reporting, including enrollment and degree reporting to external agencies, while monitoring changing requirements and helping ensure accurate, compliant student records.
- Contribute to continuous improvement by documenting procedures, evaluating workflows, identifying opportunities for greater efficiency, and collaborating with campus partners on effective solutions.

Position Information
- Full-time, benefits eligible, permanent/probationary position.
- Position is designated non-exempt under FLSA and is eligible for overtime compensation.
- Standard SDSU work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
- The role may be eligible for a hybrid telecommuting schedule of up to 2 days per week, following an initial training period requiring on-site attendance.
Department Summary
Enrollment Services supports the student experience at San Diego State University from initial interest and admission through graduation. The division brings together key areas including Admissions, the Office of the Registrar, recruitment, strategic partnerships, enrollment communications, financial aid and scholarships, and student financial services to provide comprehensive enrollment support and advance the university's enrollment goals.
As part of Enrollment Services, the Office of the Registrar provides essential academic and enrollment services to students, faculty, and the university community. The office oversees academic records, registration, class scheduling, degree requirements, transfer credit evaluation, and related academic policies. Through a dedicated team of professionals, the Office of the Registrar is committed to delivering accurate, timely, and student-focused services that support academic progress and student success.

Education and Experience
Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Key Qualifications
- Strong knowledge of administrative practices, policies, and procedures, with the ability to quickly learn and apply new processes and guidelines.
- Experience organizing projects, managing multiple priorities, and completing work accurately and efficiently in a busy environment.
- Sound judgment and independent decision-making skills, with the ability to interpret policies and determine appropriate courses of action.
- Analytical skills to research information, interpret data, apply basic statistical techniques, and make accurate projections.
- Strong written and verbal communication skills, including the ability to prepare clear reports and present information effectively.
- Excellent interpersonal and customer service skills, with the ability to build collaborative relationships and serve as a trusted liaison across teams.
- Knowledge of FERPA and student privacy requirements, along with familiarity with CSU residency regulations and immigration classifications or the ability to develop expertise in these areas.
- Experience supporting students or diverse populations in a university, enrollment services, Registrar's Office, or similar administrative setting is highly valued.

Compensation:
Salary is based on your experience, education, and qualifications, within the department's budget and equity guidelines. Step placement will be determined based on relevant qualifications and professional experience, in alignment with the department's budget and equity guidelines.
- Initial step placement is not expected to exceed Step 1 ($4,799.00/month).
- Salary step placement for internal applicants will follow the CSUEU Collective Bargaining Agreement.
- CSU Classification Salary Range: $4,799.00-$6,992.00 per month (Step 1-Step 20).
- Future increases, including step advancements, are subject to contract negotiations.
