The Student Success Office Assistant provides comprehensive administrative and operational support to the Student Success & Accessibility and Academic Advising teams and serves as a key front-line resource for students accessing services across these areas. This position provides cross-functional support to assist students with problem resolution that supports student retention, enrollment, financial aid, records and registration, and general college information.

Responsibilities:

• Provide superior front-line customer service and general administrative support for the Student Success & Acessibility, Academic Advising, and TRIO departments.
• Process and maintain all medical and disability-related diagnostic documentation for students seeking accommodation services in accordance with federal ADA requirements.
• Coordinate student appointment scheduling for the Student Services and Accessibility, Academic Advising, and third-party mental health conseling services for students.
• Respond to student and guest inquries by gathering information, clarifying situations, referring them to the appropriate student success team member or department, and providing follow up as necessary.
• Conduct outreach and follow up with students to provide information, answer questions, and connect them with appropriate campus resources and services.
• Maintain case management records for each interaction, and follow-up as required.
• Ability to understand, interpret, and explain policies, procedures, regulations, and rules to staff and the public.
• Provide backup support to Student Services teams, as needed.
• Provide students with information and assistance regarding general advising inquiries, academic progress resources, educational planning processes, transfer information, and academic success services.
• Assist students with course registration by providing guidance on registration procedures and directing them to appropriate resources as needed.
• Triage general inquiries and connect visitors to the appropriate resources.
• Support the processes of CVTC’s Connect & Refer program.
• Assist with the coordination of department test proctoring services, including scheduling, administering tests, using and providing training on assistive technology, monitoring test takers, and following procedures to ensure federal disability-related compliance. This will include coordination with other faculty, staff, and students.
• Participate in all ongoing training sessions in order to maintain a high level of efficiency in Student Services.
• Collaborate with textbook publishing companies to acquire screen readable textbook files for students with disabilities.
• Assist with assistive technology checkout procedures.
• Assist with maintaining inventory of department equipment.
• Assist with the coordination and training of student employees.

Required Knowledge, Skills and Abilities:

• Working knowledge of disability-related laws, including the ADA and Section 504.
• Ability to model integrity through self-awareness, personal accountability, ethical behavior, quality standards, and sustainable practices.
• Ability to think critically by applying problem solving practices, acquiring relevant information, using technology and other resources appropriately, and evaluating alternatives.
• Ability to communicate effectively by speaking and writing clearly, concisely, and professionally; practicing active listening; reading critically and adapting communication for audience.
• Ability to recognize personal biases, adapt to different cultural situations, and demonstrate a commitment to respectful interactions with persons of various ethnic, cultural, socio-economic, or educational backgrounds.
• Intermediate knowledge of and skills with technology including software programs for communication, data collection, and decision making including, but not limited to, Office 365 Suite.

• Associate’s degree in Executive Assistant or related field with a minimum of two years of experience working in a customer service or professional office setting required.
• Experience working with individuals from opportunity populations which may include, but are not limited to, individuals with disabilities, multicultural populations, low-income populations, single parents, or individuals with non-academic barriers required.
• Experience in higher education preferred.
• Bilingual in Spanish or Hmong preferred.
