Job description

The Office of Student Registration & Language Services has an opening for an Hourly Administrative Specialist. 

The Hourly Administrative Specialist provides administrative and front desk support for Student Registration. The incumbent reports to the Director of Student Registration & Language Services and provides administrative support to ensure smooth and efficient operations at the Welcome Center.  

Responsibilities

The Hourly Lead Administrative Specialist serves as a lead front desk staff member and primary point of contact for families, students, and community stakeholders. This position plays a key role in ensuring timely, responsive, and high-quality customer service in a fast-paced registration environment.

Key Responsibilities

  • Lead and support front desk staff to ensure efficient daily operations and consistent customer service standards.
  • Provide exceptional customer service in person, by phone, and via email; respond to inquiries accurately and within established timelines.
  • Manage high volumes of calls, emails, walk-ins, and scheduled appointments.
  • Support registration and enrollment processes, including reviewing documentation and entering data into student information systems.
  • Assist families with diverse needs and maintain a welcoming, professional environment.
  • Ensure accuracy, confidentiality, and compliance with policies and procedures.
  • Collaborate with staff and community partners to resolve issues and support smooth service delivery.

Preferred Qualifications

  • Spanish bilingual skills required 
  • Strong communication, organizational, and customer service skills.
  • Ability to work effectively under deadlines in a high-volume setting.

Qualifications

  • High School diploma or GED (Associate Degree preferred); including or supplemented by courses in business and office practices with a minimum of two years' responsible clerical experience, preferably in an education-related setting.
  • Keen understanding of computer software, browsers, and operating systems in order to perform the job, including strong knowledge of Microsoft Office software (Excel, Word, PowerPoint, and Outlook).
  • Skills working with data in spreadsheets (Microsoft Excel) is a key qualification.
  • Excellent human relations skills; ability to maintain effective working relationships with other employees at all levels, in a courteous and professional manner.
  • Excellence in business English and Spanish grammar, spelling, and punctuation; must be able to communicate clearly and concisely, both orally and in writing.
